About the Position

The Operations Systems Manager owns and optimizes the internal systems and workflows that power Isolocity's business operations, serving as the connective tissue between teams to ensure tools, automation, and data flows stay aligned, efficient, and scalable.

The ideal candidate thinks in systems, communicates clearly across functions, treats AI-assisted workflows as standard practice: equally comfortable building a no-code automation, partnering with leadership on strategy, and documenting the SOPs that keep the organization running.

What Success Looks Like

In your first 30 days, you've mapped the current tech stack, identified the top three workflow gaps, and built your first automation in production. By 90 days, cross-functional teams are relying on your dashboards, onboarding is smoother, and at least one manual process has been eliminated. At six months, you are the operational backbone of the company: the person everyone comes to when something needs to be built, integrated, or documented. Leadership trusts your data, your processes run quietly in the background, and you're already planning what comes next.


Key Responsibilities

Systems Ownership

  • Own, administer, and continuously optimize the company's core operational tools, including CRM, project management, communication platforms, and internal QMS, ensuring integrations are clean, data is accurate, and workflows are built to scale.
  • Serve as the internal authority on how systems connect and interact, proactively resolving gaps before they become bottlenecks.

Automation & AI Workflows

  • Design, build, and maintain no-code and low-code automations using platforms such as Zapier, Make, n8n, or equivalent tools to eliminate manual work and accelerate team output.
  • Identify and implement opportunities to embed AI tools into day-to-day workflows, covering everything from drafting and summarization to data processing and routing, raising the operational baseline across the organization.

Cross-Functional Coordination

  • Act as the operational bridge between Sales, Customer Success, Product, and Leadership, translating business needs into system logic, workflow configurations, and process improvements.
  • Facilitate alignment across teams by ensuring that tooling decisions and workflow changes are communicated clearly and implemented without disruption.

Operations, Data & Continuous Improvement

  • Build and maintain data pipelines and dashboards that give leadership real-time visibility into KPIs and team performance; enforce data governance standards across all operational systems.
  • Document systems, automations, and SOPs as a single source of truth, keeping knowledge accessible and transferable as the team scales.
  • Evaluate and manage third-party tools and vendors; negotiate contracts and keep the tech stack right-sized and cost-effective.
  • Manage timelines and coordinate stakeholders to keep strategic initiatives on track, within scope, and accountable at every stage.
  • Ensure new hires are onboarded into systems with the tools, access, and documentation they need from day one.
  • Spot inefficiencies and drive process improvements that reduce friction and increase team velocity, defaulting to automation-first solutions.

Qualifications

  • 3–5 years in operations, systems management, or business operations, ideally in a SaaS or tech-enabled environment.
  • Proven experience administering and integrating business tools (CRM, project management, helpdesk, or similar platforms).
  • Hands-on experience building production automations with no-code/low-code tools (Zapier, Make, n8n, or equivalent).
  • Strong analytical skills with the ability to build dashboards and reports that drive operational decisions.
  • Excellent communicator: able to translate technical concepts for non-technical audiences and create documentation that gets used, with fluency in AI tools (Copilot, ChatGPT, Notion AI, etc.) as a baseline expectation.

Strongly Preferred

  • Experience with a QMS, ERP, or compliance-adjacent platform, particularly in a regulated industry such as aerospace, medical devices, food and beverage, or cannabis.
  • Background supporting a SaaS go-to-market or customer success function, including tooling, reporting, and process design for revenue-facing teams.
  • Prior experience in a startup or scale-up environment where you were building processes from scratch.
  • Exposure to BI or data visualization tools such as Google Looker Studio, Metabase, or similar.
