Job Overview

We are seeking a professional and organized Medical Office Assistant to join our healthcare team. The ideal candidate will serve as the first point of contact for patients and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with medical office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental office settings is a plus, but not required. The position offers an opportunity to be part of a dynamic team dedicated to delivering excellent service and maintaining smooth office operations. This is NOT a summer job, as we are looking for a permanent, part-time candidate. Students need not apply.

Responsibilities

  • Greet patients warmly, ensuring a positive first impression
  • Manage appointment scheduling and coordinate calendars using Jane EMR
  • Perform data entry and maintain accurate records using QuickBooks and other office software
  • Handle filing, document organization, and general administrative tasks such as photocopying, and mail distribution
  • Assist with billing, bookkeeping, and basic financial record keeping when necessary
  • Coordinate patient flow by preparing examination rooms and ensuring all necessary equipment and instruments are ready for use
  • Ensure the reception area remains tidy and welcoming at all times
  • Provide customer support by addressing inquiries efficiently and courteously

Qualifications

  • Proven experience in an office environment, preferably in medical or dental offices
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel), and data entry software like Jane EMR and QuickBooks
  • Exceptional customer service skills with professional phone etiquette
  • Ability to manage multiple priorities effectively in a busy setting
  • Clerical experience including filing, record keeping, and administrative support preferred
  • Knowledge of front desk operations within medical or dental practices is advantageous but not mandatory
  • Strong organizational skills coupled with the ability to adapt quickly to changing priorities
