Full job description

The Fleet Coordinator is responsible for assisting with day-to-day administrative and operational functions of the organization. This role supports office operations, scheduling, compliance tracking, vendor communication, record management, and coordination of company vehicles and equipment maintenance activities.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Coordinate day-to-day operational and administrative activities

Schedule and organize vehicle and equipment inspections, servicing, and maintenance appointments

Obtain and track repair estimates, invoices, and service records

Maintain accurate compliance, maintenance, and operational documentation

Communicate with vendors, repair facilities, and service providers

Assist with tracking inspection deadlines, renewals, and maintenance schedules

Support internal scheduling and operational coordination

Assist with office administration, filing, data entry, and document management

Monitor and organize operational records and reporting

Respond to internal inquiries and provide administrative support to management and staff

Assist with process improvements and operational organization initiatives

Perform additional administrative and operational support duties as assigned

Qualifications

Strong organizational and time management skills

Excellent communication and interpersonal abilities

Proficient with Microsoft Office and general computer systems

Ability to multitask and prioritize responsibilities effectively

Strong attention to detail and problem-solving skills

Experience in administration, operations, logistics, transportation, or office coordination considered an asset

Experience coordinating maintenance schedules or vendor communication is an asset
