- One part-time position, working 18.13 hours per week
- One full-time position, working 36.25 hours per week
About the job
As an Administrative Assistant with the Victim/Witness Assistance Program, you will provide essential administrative support while serving as a first point of contact for clients. In this role, you will help maintain efficient office operations and connect clients with the information and services they need.In this role, you will:
- Respond to and record inquiries, referring issues to the appropriate staff.
- Receive and review incoming files and materials to determine priorities.
- Establish and maintain office filing systems.
- Enter, extract and format data to prepare statistics and routine correspondence.
- Maintain the reception area, waiting room and office equipment.
- Arrange meetings, coordinate appointments, and assist with training and orientation.
What you bring to the team
Mandatory requirements
- You are proficient in written and oral French at the advanced level Your proficiency level will be confirmed before hire.
Administrative and Office Skills
You have:- Experience managing case files, coordinating schedules and maintaining organized records.
- Knowledge of government and ministry procedures that support daily office operations.
- Proficiency with office software, including word processing, spreadsheets and databases.
- Knowledge of privacy legislation and the appropriate handling of sensitive information.
Communication and Client Support
You have:- Communication skills to interact clearly and respectfully with clients, including those experiencing emotional or crisis situations.
- The ability to explain legal and program information in clear, easy-to-understand language.
- Written communication skills to prepare and proofread accurate documents.
- The ability to work collaboratively and contribute to a supportive, team-based environment.
Knowledge of Victim Services and the Justice System
You have:- Knowledge of VWAP services, policies and the needs of victims.
- Knowledge of the criminal justice system, including court processes and legal terminology.
- The ability to prioritize case information and support clients through legal proceedings.
- Knowledge of community and emergency services to connect clients with appropriate supports.
Analytical and Problem-Solving Skills
You have:- The ability to review and prioritize documents and identify key information.
- Problem-solving skills to resolve issues related to financial records, travel claims and billing.
- The ability to manage multiple tasks and adapt to changing priorities.
- The ability to identify process improvements and support efficient office operations.
