Since 1954, Beedie has combined innovation and craftsmanship to bring new possibilities to life. As one of Canada’s largest private industrial developers, Beedie is excited to be growing our Toronto team! We are currently seeking a Project Coordinator to join our expanding team managing various Beedie projects. This position will work with our Project Management Team and external consultant team from design and building permit coordination through to project completion. In addition, this position provides the opportunity to act as an Owner's Representative on select projects, gaining direct experience in client-side project oversight. Responsibilities include overall construction performance including all aspects of pre-construction and construction, involving planning, scheduling, administration of contracts, supervising, and project reporting. This role also offers the opportunity to take ownership of select, scoped projects independently to help expand your knowledgebase while still having support from a Project Manager.

Key Responsibilities

  • Assist with preparation of conceptual project budgets
  • Assist with preparation of preliminary design schedules and construction schedules
  • Assist with preparation of permit packages by coordinating drawings and information required for the application and approval process and assist in obtaining all other municipal permits
  • Assist in the preparation and issuance of the project tender packages, including scopes of work customized for the specific project
  • Prepare and review bid analysis spreadsheets and recommendations for contractor and vendor selections
  • Prepare prime contract, consultant services agreements and vendor purchase orders for execution
  • Internal project schedule updates and construction status reporting
  • Attend and participate in project meetings as required
  • Provide meeting minutes for applicable meetings as directed
  • Set up and maintain record files to ensure that all project information is appropriately documented and secured
  • Review, submit and maintain tracking log for RFI’s and shop drawings
  • Ensure shop drawings are submitted in accordance with the Project Schedule
  • Assist with approvals and accounting entries for project change orders
  • Manage the change management process by reviewing all incoming change requests for scope justification and pricing accuracy, maintaining a current change log, and updating online software for approved changes
  • Own project document control across all phases of construction, maintaining a comprehensive and up-to-date filing system for all submittals, RFIs, change management, drawings, meeting minutes, and project correspondence
  • Assist in the processing of progress billings from contractors, consultants, and other vendors
  • Monitor the site progress and the quality of the work completed. Identify and address any deviations from the project timelines or specifications.
  • Coordinate and collect all close-out documents including as-build record drawings, warranties, operating and maintenance manuals
  • Manage the close-out process from an ownership perspective, ensuring all service contracts, warranties, and maintenance agreements are properly executed, organized, and transitioned to the building owner and/or tenant upon project completion.
  • Other duties as required

Desired Skills and Experience

  • A minimum of 2-4 years of relevant work experience in industrial or institutional construction
  • The ability to travel throughout GTA with access to your own vehicle
  • A technical Diploma or relevant University Degree
  • Exceptional written and oral communication skills
  • Passion for construction and project management
  • Recognized analytical and research skills
  • The ability to handle a heavy workload, multitask and prioritize
  • A strong work ethic, attention to detail, and excellent organizational skills
  • A desire for continuous learning and professional development within the construction and real estate development industry

The annual base pay range for this position will be based on the desired experience level for this role. Additionally, Beedie recognizes exceptional individual and team performance through our pay-for-performance bonus program. Factors that contribute to pay decisions include: relevant business and candidate factors such as market location, education, job-related knowledge, skills, experience, and organizational needs.

The base salary and bonus are just a few key components of the overall compensation at Beedie. We also provide generous learning and development support, comprehensive group health benefits, vacation, maternity leave top-up, RRSP matching, paid time for volunteering, and more...
