Role Overview:
The Medical Office Assistant at Infini Health serves as the first point of contact for patients and supports efficient clinic operations. The role involves providing excellent patient service while managing scheduling, patient communication, health records, and administrative tasks. It requires in‑office work in Calgary, schedule flexibility, strong organizational and communication skills, and the ability to thrive in a fast‑paced, high‑volume clinic environment.

Key Responsibilities:

1. Patient Care & Service

  • Greet and check in patients, assist with paperwork, and provide a welcoming clinic experience
  • Manage patient flow through examination and treatment areas
  • Respond to patient inquiries via phone, email, and in person in a timely and professional manner
  • Communicate professionally with referring physicians, clinics, and healthcare partners
  • Ability to assist patients entering or exiting the clinic with mobility challenges.

2. Scheduling & Appointments

  • Process referrals and schedule, confirm, and maintain patient appointments and waitlists
  • Educate patients on appointment expectations and preparation
  • Send reminders and enforce no‑show and late‑cancellation policies

3. Patient Follow‑Up & Records

  • Book follow‑up appointments and tests
  • Update and maintain accurate patient health records
  • Support post‑visit needs and appointment preparation reminders

4. Clinic & Administrative Support

  • Maintain clean, stocked exam rooms and a welcoming waiting area
  • Provide administrative support including data entry, scanning, faxing, and documentation
  • Assist with training, coverage for team members, and inventory monitoring
  • Follow clinic policies, privacy regulations (FOIP, Alberta Netcare), and infection prevention protocols
  • Foster professional, collaborative relationships with the clinical team

Qualifications:

  • Diploma or certificate in Medical Office Administration preferred
  • 1–2 years’ experience in a multidisciplinary clinical setting; imaging, pain management, or musculoskeletal care an asset
  • Knowledge of healthcare administration, regulatory compliance, and best practices
  • Strong organizational, multitasking, and attention‑to‑detail skills
  • Ability to remain calm under pressure while delivering patient‑focused service
  • Proficiency in Microsoft Office, EMR systems, PACS, and clinic software
  • Excellent verbal and written communication skills
  • Proven ability to maintain confidentiality and comply with privacy regulations
  • Key strengths include adaptability, problem‑solving, teamwork, and technology proficiency
