Position Description: Warehouse Administrator and Invoicing

Location: This is a 100% in-person position. Candidates must be able to work onsite at our office in Listowel, ON. For commuting convenience, applicants living within a reasonable distance from our office are preferred.

Job Description:

This role will be responsible for performing daily warehouse administrative duties which mainly consist of creating and handling inquires with regards to customers invoices, inventory and logistics.

Qualifications:

• Accurate data entry skills.
• Experience as an invoice clerk or in general warehouse administration is preferred.
• Proficiency in MS Office (especially Excel), as well as Google Workspace.
• Excellent organizational skills and attention to detail.
• Ability to thrive in a fast-paced environment that requires adaptability and on-the-spot problem solving.
• The ability to work independently or as part of a team.
• Ability to multi task, prioritize responsibilities, consistently meet deadlines and possess strong organizational skills.
• Willingness to learn and undertake new challenges.
• Enjoys tackling challenges and finding creative, effective solutions.
• Bilingual in English and French preferred but not required.

Responsibilities:

• Create customer invoices and inventories from picked and packed orders from picking team.
• Assisting the dispatch clerk in ensuring that carriers scheduled and are provided with the proper shipping manifests and/or shipping documentation.
• Processing entries for shipping / receiving, vendor claims, and credit notes.
• Fixing billing errors by issuing debit and credit memos.
• Ensuring that client information details are accurate, kept up-to-date and organized.
• Liaising with the logistics carriers and ensuring that goods are dispatched on time, ensuring delivery with tracking information being provided to management and customers.
• Assist with physical inventories and reconciliations.
• Analyze paperwork received, (supplier invoices, BOL, packing slips) with attention to details in order to ensure information accuracy and address any discrepancies.
• General administration and support for logistics and shipping and receiving departments.
• Wrapping skids and labeling of skids and assist with staging product for shipment.
• Place the appropriate documentation with each order and ensure all cases are clearly labelled and accurately marked (e.g., pick/pack slips, fragile stickers).
• Assist shipping department when need. (double checking picked orders, returns, staging, etc.).
• Investigate, rectify and document all inventory discrepancies in the WMS system.
• Other duties as required.

This is a full-time permanent position from Monday to Friday.

Salary: $20.00-$22.00 per hour
