As an Administrative Assistant your responsibilities will include:
  • General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing
  • Working independently and within a team environment to support the client service staff to produce high quality client deliverables
  • Proficient in Microsoft 365 suite in order to review and assemble financial statements, tax returns, correspondence, proposals and presentations in accordance with firm standards and branding
  • Preparation of letters and reports using firm templates in compliance with Firm standards
  • Proof-read, review for quality and verify content before finalizing any client deliverables
  • Scan documents and embed in electronic file
  • Welcome clients by greeting them, in person or on the telephone; answering or referring inquiries
  • Participate in training and stay current with company software
  • Provide billing support using various Doane Grant Thornton systems and in accordance with the terms of the engagement letter
  • Organize information and maintain D365 (CRM database) for marketing purposes using our contact relationship management software
  • Coordinating internal/external meetings, room bookings, meals/catering and events, video conferences
  • General administrative duties including, but not limited to: reception, filing, photocopying, scanning, faxing and mailing

Think you’ve got what it takes to be an Administrative Assistant? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:
  • Significant work experience demonstrating use of Microsoft 365 (particularity Outlook, Word, Excel and Teams)
  • 2 to 4 years of administrative experience
  • Excellent data entry skills and high attention to detail with an aptitude for proofreading and suggesting alternatives
  • Excellent written and verbal communication skills
  • Ability to multi-task and prioritize
  • Exceptional client service mindset
  • Computer savvy – ability to learn and troubleshoot various computer programs
  • Talent to handle multiple tasks and shifting priorities while maintaining a high level of accuracy
  • Takes initiative, takes direction and works well independently
  • Keen attention to detail, efficient and accurate
