The Project Administrator (Finance Focused) plays an important role in supporting project management activities, financial operations, and administrative coordination. The ideal candidate will be responsible for tracking financial commitments, maintaining project documentation, assisting with invoicing, and ensuring effective communication between teams and clients.

This position requires strong customer support skills, attention to detail, and the ability to manage multiple priorities in a fast-paced industrial environment.

Key Responsibilities:

  • Work with Project Leads and Department Managers as required
  • Provide direct support to the Project Managers/Coordinators by tracking ongoing commitments and upcoming financial deadlines
  • Compile and analyze Labor, Equipment, and Materials (LEMs) in collaboration with the Projects team to produce accurate billings.
  • Responsible for finalizing project billings periodically as outlined in each contract, including identifying and communicating triggers for billings to the Project Managers/Coordinators
  • Create invoicing templates for project and manage the key stakeholders to ensure timely billings
  • Provide financial insight to help set project budgets based on information from the bid
  • Verification of cost coding – timesheets & purchase orders
  • Reviewing project financial commitments and escalating any issues
  • Reviewing client issued change orders and purchase orders to verify accuracy of financial information against internal records
  • Work with accounts receivable & payable to meet financial deadlines
  • Work with Project Controller to review and report financial data
  • Support additional project administration duties as required.

What We’re Looking For:

  • 2+ years in project administration, financial tracking, or customer support (experience in an industrial, construction, or fabrication environment is a plus).
  • Strong ability to communicate professionally with internal teams, vendors, and clients
  • Proficiency in Microsoft Office (Excel, Word, Outlook). Bluebeam experience is an asset.
  • Strong data entry skills with accuracy in financial tracking and documentation.
  • Ability to analyze financial data, track cost variances, and support financial reporting.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication to facilitate project coordination and reporting.

Working Conditions

The incumbent is required to work in an office environment with moderate noise. The job may require the incumbent to walk stairs; be outside in inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

Physical Requirements

The incumbent is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal for extended periods of time; and extensive reading. The incumbent is also required to stand and sit for extended periods of time.
