Who We Are:

Krest One Dental is a Dental Management Corporation operating multiple clinics across Ontario, Canada. Each clinic delivers a full suite of dental services, including general dentistry, cosmetic treatments, implants, and emergency care. Our locations are equipped with modern technology and staffed by experienced professionals who prioritize patient experience, accessibility, and clinical excellence. We maintain strong brand standards and place a heavy focus on digital visibility and community engagement.

Team Leader responsible for supporting daily clinic operations, supervising staff, and ensuring excellent patient care and workflow efficiency. Works closely with management to maintain professionalism, team performance, and operational standards across clinic locations.

Key Duties:

Team Leadership & Staff Management

  • Supervise and support administrative and clinical team members
  • Provide guidance, coaching, and ongoing training to staff
  • Assist with staff scheduling, shift coverage, and workflow management
  • Monitor team performance and maintain workplace professionalism
  • Help resolve staff concerns and workplace conflicts professionally
  • Support leadership initiatives and operational growth across multiple locations
  • Foster accountability, collaboration, and a high-performance culture

Clinic Operations

  • Ensure smooth day-to-day clinic operations across assigned locations
  • Monitor appointment scheduling, production flow, and patient experience metrics
  • Maintain clinic policies, procedures, and compliance standards
  • Support inventory management and ordering of supplies
  • Coordinate with dentists, hygienists, specialists, and external partners
  • Assist in implementing operational systems and process improvements
  • Support clinic growth initiatives, efficiency goals, and KPI tracking

Patient Experience

  • Ensure excellent customer service and patient satisfaction
  • Address patient inquiries, complaints, and concerns professionally
  • Assist patients with treatment coordination and follow-ups
  • Maintain patient confidentiality according to privacy regulations
  • Ensure consistent patient experience standards across the organization
  • Support patient retention, recall systems, and communication strategies

Administrative Support

  • Assist with patient scheduling and follow-up logistics
  • Support insurance verification and basic billing assistance
  • Maintain patient records with accuracy and confidentiality
  • Help monitor office supplies and place orders as needed
  • Ensure clinic policies and procedures are followed
  • Liaise with dental assistants, hygienists, and providers to support workflow
  • Assist management with reporting, audits, and operational documentation

Team Coordination

  • Support onboarding and training of new front desk staff
  • Provide daily support and guidance to patients, visitors, and clinic staff
  • Ensure staff adhere to clinic standards, protocols, and patient care expectations
  • Promote a positive, collaborative, and patient-focused work environment
  • Encourage team engagement, accountability, and continuous improvement

Patient Care & Communication

  • Serve as a helpful point of contact for patient concerns, redirecting to management when needed
  • Ensure efficient patient flow throughout the clinic
  • Oversee appointment reminders, recalls, and follow-ups
  • Maintain high patient satisfaction through friendly, timely communication
  • Support reputation management and patient feedback initiatives

Compliance & Safety

  • Ensure compliance with infection prevention and control protocols
  • Support workplace health and safety standards
  • Maintain knowledge of dental office software and insurance procedures
  • Ensure adherence to privacy legislation, regulatory requirements, and DSO operational standards

Reporting & Documentation

  • Prepare and submit reports on office performance, including financial, patient flow, and staff efficiency.
  • Analyze patient satisfaction surveys and take appropriate action to improve service delivery.
  • Manage inventory reports and track the use of materials.

Required Qualifications:

  • Minimum of 1 year of experience as a Dental Office Manager within the healthcare industry.
  • Dental office experience is required, and knowledge of dental procedures and terminology is preferred.
  • Strong knowledge of dental insurance claims, billing, and coding.
  • Proficient in office software (e.g., Microsoft Office Suite) and dental practice management software (e.g., Akitu, Dentrix).
  • Strong leadership and organizational skills with the ability to manage multiple priorities.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and in a team environment.

Preferred Qualifications:

  • Certification in dental office management or related fields (e.g., CDA, Dental Office Administrator Certificate).
  • Experience of hiring and performance reviews.
  • Familiarity with local healthcare regulations and public health policies.

Physical Requirements:

  • Ability to sit, stand, or walk for extended periods.
  • Occasional lifting of office supplies or dental equipment (up to 20 lbs).
  • Ability to work at a fast pace and manage high-stress situations effectively.

Working Conditions:

  • Occasional overtime may be required during peak periods or for special projects.
  • The position may require standing for long periods, occasional lifting, and the ability to work in a fast-paced, patient-focused environment.
