Position Information

Position Title
Athletics Services Coordinator

Position Summary
The Athletic Services Coordinator plays a critical role in the administration of the department’s athletic eligibility program and student-athlete support services, using effective communication, problem-solving and organizational skills, while exercising discretion and confidentiality. They support club sport programming for Rodeo and Dance. This position is also responsible for preparing employment contract letters and onboarding Athletics staff. The Athletics Services Coordinator is also responsible for providing reception services and administrative support for the Department of Athletics.

Position Responsibilities
Athlete Eligibility & Compliance
  • Maintains athletics eligibility software to collect student athlete personal information, required forms and information for student athlete eligibility as well as team personnel information required for compliance purposes.
  • Communicates with student athletes and coaches to ensure required eligibility information and documents are submitted.
  • Maintains accurate athletic participation and academic status records on student athletes and their programs.
  • Submits, tracks, and communicates with coaches all relevant information needed for eligibility and eligibility compliance for the ACAC, CCAA and CCRA.
  • Completes student athlete transfer forms for review by the Athletics Manager.
  • Ensures team rosters (excel sheet and website) are updated when modifications are made to a program roster.
  • Registers student athletes participating in hockey into the Hockey Alberta data management system.
  • Prepares and submits, after review by Athletics Manager and Registrar, ACAC/CCAA Eligibility Certificates in accordance with ACAC regulations and procedures which includes electronic submission via Conflink.
  • Prepares and submits, after review by Athletics Manager, ACAC/CCAA Academic Awards Nominations.
  • Prepares annual academic performance and recruiting reports for the Athletics Manager.
  • Ensures all athletic eligibility procedures meet POPA standards.
  • Works with Registrar’s Office to improve information flow to support student athlete eligibility work.
  • Point of contact for athletics student athlete software (Univerus) updates, troubleshooting, and runs reports as requested.
  • Coordinates annual review and revisions to Student-Athlete Handbook.

Club Sport Coordination
  • Assists coaches in hosting auditions and tryouts for club sport programs.
  • Organizes venue booking, scheduling, transportation booking, and travel as required, with support of Operations Coordinator.
  • Maintains accurate individual and team historical records, results, rosters, and statistics, and assists coaches in identifying and promoting recognition opportunities.
  • Assists coaches in providing information regarding rules, expectations, and requirements for all participants in club sports.
  • Maintains operating and department budgets, monitors expenses and revenue targets, and provides updates and budget forecasts for club sport programming.
  • Assists coaches in identifying sponsorship opportunities and works with the Athletics Manager and Athletics Sponsorship and Fundraising Officer to realize and service sponsor contracts.
  • Assists coaches with fundraising initiatives for program areas.
  • Updates and maintains all social media platforms for Club Sports.
  • Serve as the primary liaison with the CCRA and support opportunities to host club sport events, subject to approval by the Athletics Manager.

Athletics Department Support
  • Responsible for providing reception services and administrative support for the Department of Athletics.
  • Prepares and distributes contract letters for signature, ensuring accuracy of step and grade calculations for Athletics Game Day staff, Head Coaches and Assistant Coaches.
  • Completes EPAF entries in Banner for employee contracts and liaises with People and Culture Payroll to ensure timeliness and accuracy.
  • Assists with orientation of new staff which includes submitting eRequests, ordering business cards and, if necessary, name tags and guiding them to polytechnic services (i.e. key pick up, parking).
  • Prepares orientation packages for new employees and assists Athletics Manager in onboarding new Athletics staff.
  • Works with Athletics Manager to coordinate registrations for events using Perfect Mind software
  • Coordinates meeting logistics which includes but is not limited to securing meeting space, parking permits, food, transcribing minutes and preparing meeting packages for department meetings.
  • Acts as first point of contact for the department, routing and triaging inquiries. Monitors general Athletics email inbox and main voicemail inbox.
  • Monitors and purchases office supplies, staying within allotted budget.
  • Requests office equipment maintenance when needed.
  • Provides administrative support for special events such as but not limited to the athletic awards night, alumni functions, and ACAC /CCAA championships.
  • Manages department SharePoint(s), create sites and determine structure, manages permissions and access.
  • Documents and updates work processes for the role.
  • Directs students to different RDP resources and provides information on services as needed.

Continuous Growth & Acquisition of New Skills
  • Actively participates in training and professional development activities as they become available.
  • Actively acquires knowledge and skills related to this position.
  • Familiarizes self with policy and procedures in order to meet user needs immediately without misleading or misdirecting clients.
  • Performs other duties as assigned.
  • Provides coverage for other administrative positions within the division.

Required Qualifications
  • Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in a related program representing four years of study or equivalent.
  • Minimum 3 years of related experience

Preferred Qualifications
  • Strong communication skills and excellent customer services skills are required.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Experience using critical thinking skills under stress.
  • Ability to adapt quickly in a fast-paced workplace with rapidly changing priorities.
  • Ability to manage a diverse workload, prioritize tasks and work independently and collaboratively with other stakeholders.
  • Proficient computer skills in Microsoft Office Suite and other software with an aptitude for learning.
  • Experience working in intercollegiate athletics or sport administration within a post‑secondary setting.
  • Interpersonal/relationship building skills – demonstrated ability to interact with many different people and to provide employees, student athletes, coaches and patrons a positive experience.
  • Experience providing student‑centered services, including advising student‑athletes.
  • Experience with scheduling, facility bookings, and event coordination.
  • Budget tracking, purchasing, and basic financial administration experience.
  • Familiarity with policies, procedures, and institutional governance.
  • Experience with sport governing body regulations and eligibility rules.
  • Knowledge of Safe Sport principles and ethical conduct.
