Multi-location Law Office

Our client, TLR Law, is not your typical law firm. Their focus is on helping Manitoba families and small businesses with many of the most common legal situations they face. They listen. With three locations (St. Boniface, Scurfield, and St. James) and a new location acquired on Henderson Hwy, they are your neighbourhood Law Firm.

Position Overview

We are seeking a detail-oriented Legal Assistant to provide comprehensive administrative support across multiple practice areas including Estate Planning, Estate Administration, Real Estate, and Corporate law. This role focuses on document preparation, trust accounting support, and practice area-specific administrative duties. The ideal candidate is organized, technology-proficient, and capable of managing diverse responsibilities across our multi-location firm.

Core Responsibilities

Trust Accounting and Financial Administration

● Process client payments using Point of Sale machine or over the phone via Converge payment system

● Post payments for invoices and retainers to Trust accounts in ActionStep Matter Management system

● Assist in preparing trust packages for sending to and receiving from lawyers

● Perform daily deposits to Caisse using cheque scanner

● Generate and deliver daily trust account deposit reports to Caisse

● Process daily cash deposits to Caisse

● Print client cheques for law firm signature

● Receive and process payments for invoices and Trust Accounts within ActionStep

● Scan cheques received from office locations for invoice/retainer payments and post to ActionStep

Estate Planning and Estate Administration Support

● Print estate planning documents for client meetings

● Draft and print ancillary documents including reporting letters and authorizations

● Obtain additional signatures from clients as required

● Package completed estate planning documents for client delivery

● Coordinate document execution and finalization

● Support estate file management and document organization

Real Estate Support

● Print documents for real estate signings at office locations

● Prepare and organize real estate closing documentation

● Support real estate transaction administrative requirements

Corporate Support

● Print letters and documents drafted by lawyers

● Courier and mail outgoing correspondence and documents for lawyers

● Receive and process incoming corporate correspondence

● Prepare minute books for client pickup or courier delivery

● Support corporate file management and organization

Document and File Management

● Gather, scan, and distribute daily mail to appropriate lawyers and paralegals

● Save scanned documents in SharePoint according to firm filing protocols

● Maintain organized digital and physical filing systems

● Manage document version control and filing accuracy

● Support matter-specific document organization within ActionStep

Client Support and Communication

● Interact professionally with clients during document signing and payment processing

● Respond to basic client inquiries regarding document status and administrative matters

● Maintain professional and courteous communication across all client touchpoints

Court and External Relations

● Coordinate with court clerk for filing and document retrieval as needed

● Manage courier services and track document delivery

● Interface with external service providers and government offices

Required Qualifications

Education and Certification

● Legal Assistant diploma or certificate from recognized program

Experience

● Minimum of one (1) year experience in legal administrative support role

Technical Skills

● Demonstrated proficiency with legal practice management software, preferably ActionStep

● Experience with trust accounting procedures and payment processing

● Proficiency with Microsoft Office Suite, document management systems, and cloud-based platforms

Core Skills

● Strong attention to detail with proven track record of accurate data entry and document preparation

● Excellent organizational skills with ability to manage multiple tasks across different practice areas

● Professional communication skills in client-facing situations

● Ability to work independently while collaborating across multiple office locations

● Understanding of confidentiality requirements and professional discretion

Preferred Qualifications

● Fluency in English and French (written and spoken) would be an asset

● Previous experience with ActionStep Matter Management system

● Background in Estate Planning, Estate Administration, Real Estate, or Corporate law

● Familiarity with trust accounting regulations and Law Society requirements

● Experience with Converge payment processing system

● Knowledge of Canadian legal terminology and court procedures

Work Environment

● In-office position based out of one of the three locations with responsibility for supporting all three (3) office locations and their new location on Henderson Hwy

● Standard business hours 9am - 5pm M-Th, 9am-4:30pm F
