Position: Administrative Manager
Location: Montreal, QC

Who We Are
York Railroad Construction Inc. is a full-service contractor for the railway industry. We are located out of Burlington, ON with offices throughout Canada.

Our mission is to deliver safe, cutting-edge and environmentally sustainable maintenance and construction services to railway track owners and operators across Canada. We design, build and maintain all levels of rail for various clients.

Job Description
Administrative Manager will be reporting to York Rail's Sr. Management. The Administrative Manager is responsible for providing leadership, support and maintenance for all Administrative management systems, processes and procedures.

This role will support our Operations, Finance, Engineering, Human Resources and any other disciplines within an Administrative scope. This role will also lead all Administrative duties, processes and procedures such as; Payroll, Billing, Tax Fillings, Various Reconciliations, Group Benefits and any other general administrative tasks.

An Administrative professional with rail experience and a background in equipment management would be an asset. This is primarily a remote based position with occasional travel.

Applicants must be able to:

· Pass a criminal background check

· Pass a drug test

· Posses a Valid Class 5 driver’s license

Job Duties

Administrative Manager duties will be, but not limited to:

  • Complete full cycle payroll
  • Process working reports for accurate payroll and billing
  • Assist various departments with necessary paperwork (operations, health and safety, AR, etc.)
  • Tracking of personnel, including training and crew location
  • Ensure smooth onboarding of employees, including onboarding package, background checks, and required trainings
  • Manage group benefits through enrollment and removal of employees, and facilitate communication with provider as necessary
  • Review company documents and policies, and facilitate
  • Facilitate the offboarding of employees by communicating with internal departments, completing proper documentation, and processing Record of Employment
  • Assist the accounts team with billing and invoice payment
  • Maintain books in accounting software
  • Complete monthly reconciliations and credit card payments
  • Monitor company expenses and perform monthly audits
  • File and pay all workers compensation boards
  • File various taxes
  • Support team for tenders with documentation and decisions throughout process and negotiations
  • Other general administrative tasks as necessary

Job Requirements:

  • 5+ Years of Administrative Management within an Operations based industry
  • 3+ Years of Payroll experience
  • 3+ Years of AR/AP experience
  • Successfully completed post secondary education in Business Administration or Finance/Accounting
  • Administrative experience within Rail Construction is an asset
  • Strong skillset with Microsoft 360, Google Suites, QuickBooks
  • Ability to pass a Criminal Background Check & Drug Test
  • Valid Class 5 Drivers Licenses
  • Fluent in French and English

Job Type: Full-time

Pay: From $85,000.00 per year
