KMA Chartered Professional Accountants is a well-respected mid-size full-service accounting (CPA) firm located in North Nanaimo, across from Long Lake. KMA CPA’s provides a wide range of services to a diverse group of clients. In addition to the usual set of services provided by CPA firms, KMA provides US tax services to clients from all over BC. The firm’s core value is to move beyond regulatory compliance and work with our clients to focus upon developing efficient strategies for tax minimization.

Over the last five years, how CPA firms send and receive information has moved from mostly paper, to electronically. This new role reflects this change.

We are seeking to add a new position to the in-office team members. This position will focus upon blend administrative duties and the need for effective communication skills. Having previous accounting and/or tax knowledge is a definite asset. This individual will possess strong time management, excellent communication skills, IT knowledge, a willingness to learn. The position will see the individual focus upon providing support to the KMA team.

A typical week for the successful candidate will include:

In the morning, you will check for new files that have arrived in the last 24 hours. You will download them to the correct folder(s). You will notify the client manager of the new file arrivals. You will then upload completed files to clients’ portals. Later in the morning, you will scan any client documents that have been dropped off.

In the afternoon, you will collate (assemble) files for client signatures. This involves assembling PDF files from various sources. KMA uses DocuSign, therefore you will be placing signature tags on the files for clients. KMA now sees most clients sign electronically.

As part of the administration team, you will be responsible for a wide range of duties. This position will see significant fluctuations in workload over the year. It is anticipated that the workload during July and August will be very light.

KMA uses CCH’s iFirm. iFirm is a cloud-based practice management application suite. It is expected that any new staff member will have to learn this application. Prior knowledge is not a requirement. As it is widely used in the industry, there are numerous YouTube videos and tutorials available.

Key responsibilities for this role:

  • Downloading client files into the correct folder on the server.
  • Renaming files as needed.
  • In office scanning of client provided documents.
  • You will be required to cover the front desk is off or as needed
  • Notification of the assigned staff member of the newly received files.
  • Collating of completed files for signature. This includes Canadian T1s, US tax files, and various corporate files.
  • Uploading of files to client’s Portals.
  • You will be responsible for managing a shared inbox.
  • The ability to learn a wide variety of assigned tasks
  • To successfully multitask on a day-to-day basis
  • Ability to work additional hours and weekends during the months of March and April

Qualifications:

  • Post-secondary education is a definite asset. (Such as a certificate in Office technology)
  • Working knowledge of Outlook.
  • Moderate knowledge of MS Teams
  • Moderate knowledge of Excel
  • Moderate knowledge of Adobe Acrobat Pro
  • Familiarity with Docusign

Work Location

This is an in-person position. The applicant must be located in central Vancouver Island.

Compensation:

The range of pay $20 to $24 per hour.

Pay: $20.00-$24.00 per hour
