Legal & Administrative Assistant

Location: Richmond Hill, ON

Job Type: Full-time

About the Role

We are seeking a detail-oriented and responsible Legal & Administrative Assistant to support our daily office operations and assist with client management. The ideal candidate should be fluent in Mandarin and English (Cantonese is an asset) and have strong organizational and communication skills.

PRIMARY JOB DUTIES AND RESPONSIBILITIES:

Legal Assistant Duties:

  • Manage accounts payable and receivable
  • Prepare and send client invoices; follow up on outstanding payments
  • Reconcile bank and credit card statements
  • Maintain general ledger and financial records
  • Generate financial reports for management
  • Assist with payroll processing and employee reimbursements
  • Ensure compliance with trust accounting
  • Answer and direct phone calls, emails, and client inquiries
  • Maintain case files, both physical and electronic
  • Schedule meetings, court dates, and appointments
  • Order office supplies and manage vendor relationships
  • Perform data entry and document preparation (letters, legal forms, etc.)
  • Support attorneys with client intake and basic case management tasks
  • Maintain confidentiality of sensitive information

Qualifications

  • Fluent in Mandarin and English (Cantonese preferred)
  • Previous experience in legal, administrative, or office assistant roles is an asset
  • Proficient with Microsoft Office and Google Workspace (Experience with Soluno is an asset).
  • Strong attention to detail and ability to multitask
  • Excellent written and verbal communication skills
  • Reliable, professional, and able to work independently
