Executive Assistant to the CEO & Board of Directors
InsureCPA
At InsureCPA, we believe CPAs do great things. They are leaders, business owners, community builders, parents, mentors, and trusted advisors. Our role is to help protect the health and wealth of the people behind the designation.
For more than 50 years, we have provided exclusive insurance and employee benefit programs to CPAs across Western Canada, delivering exceptional service and building the long-term relationships our members have come to expect.
As our organization continues to grow, we are looking for an experienced Executive Assistant to become a trusted partner to our CEO and a key support to our Board of Directors.
About the Role
This is more than a traditional Executive Assistant position.
We are looking for someone who enjoys creating order, keeping priorities moving, and helping leaders stay focused on what matters most. You will work closely with the CEO, helping manage competing priorities, coordinating key initiatives, and ensuring important commitments don't fall through the cracks.
You will also play an important role in supporting our Board of Directors by coordinating meetings, preparing materials, maintaining governance records, and ensuring Board activities run smoothly and professionally.
The ideal candidate is proactive, highly organized, resourceful, and comfortable taking ownership. They anticipate needs, follow up on commitments, keep priorities on track, and enjoy being the person others rely on to help things move forward.
What Success Looks Like
- The CEO and Board are consistently prepared, informed, and supported.
- Organizational priorities stay on track through proactive follow-up and strong coordination.
- Board meetings, communications, and governance activities run smoothly and professionally.
- Stakeholders experience responsive communication, exceptional organization, and dependable support.
- Priorities are managed effectively, deadlines are met, and important details are never overlooked.
Key Responsibilities - Executive Support
- Manage the day-to-day operations of the CEO's office.
- Coordinate calendars, meetings, travel, correspondence, reports, presentations, and special projects.
- Track priorities, commitments, and follow-up activities.
- Act as a key point of coordination between the CEO and internal and external stakeholders.
Board & Governance Support
- Coordinate Board and committee meetings.
- Prepare agendas, Board packages, minutes, and action item tracking.
- Support Board recruitment, onboarding, orientation, and AGM activities.
- Maintain governance records and documentation.
Leadership & Organizational Support
- Coordinate leadership meetings, agendas, minutes, and reporting activities.
- Assist with special projects and organizational initiatives.
- Support office operations, vendors, and confidential organizational matters.
Event Coordination
- Coordinate conferences, sponsorship activities, webinars, and member engagement events.
Qualifications & Experience
- Minimum 5 years of experience supporting senior executives, leadership teams, or Boards of Directors.
- Experience supporting Board or committee activities, including meeting coordination, agendas, minutes, Board materials, or governance-related processes.
- You do not need to be a governance expert, but you should be comfortable working with Board members and supporting Board activities with confidence and professionalism.
- Exceptional organizational, communication, and time management skills.
- Strong proficiency with Microsoft Office Suite.
- Experience with Board management software is considered an asset.
What Will Make You Successful
- Comfortable following up with senior leaders and helping keep priorities moving.
- Takes ownership and proactively solves problems.
- Anticipates needs rather than waiting for direction.
- Enjoys helping others stay organized, prepared, and focused.
- Thrives in a fast-paced environment where priorities can shift.
- Dependable, adaptable, positive, and solutions-oriented.
- Builds strong professional relationships with executives, Board members, and stakeholders.
Compensation & Work Environment
- Competitive salary based on experience
- Participation in the company-wide short-term incentive plan
- Comprehensive benefits package
- Four weeks of vacation annually
- Paid time off (PTO) days
- Full-time position, 37.5 hours per week
- Primarily in-office environment
- Opportunity to work closely with the CEO, Board of Directors, and senior leadership team
- Stable, collaborative, and values-driven organization
- Occasional paid travel, primarily to support Board meetings in Vancouver
