Customer Service Representative

Location: XO Stone Surfaces – Ottawa, ON
Job Type: Full-time, Permanent
Hours: 40 hours per week, Monday to Friday

Position Summary

XO Stone Surfaces is looking for a detail-oriented, organized, and customer-focused Customer Service Representative to join our team. This role is responsible for accurately entering and maintaining order and project information, communicating with customers and construction sites, and supporting the sales, fabrication, and installation teams throughout the project process.

The ideal candidate has strong administrative and customer service skills, excellent attention to detail, and experience or knowledge related to the stone, countertop, cabinetry, or construction industry.

Key Responsibilities

  • Accurately enter customer orders, measurements, specifications, and job details into the company system.
  • Review work orders and project documentation to ensure information is complete and accurate.
  • Communicate with customers, contractors, builders, and construction sites regarding project requirements, scheduling, and status updates.
  • Coordinate with fabrication and installation teams to help ensure projects are completed accurately and on schedule.
  • Review measurements, specifications, cabinet drawings, architectural drawings, and other project documentation as required.
  • Respond to customer inquiries professionally and promptly by phone and email.
  • Maintain accurate and organized customer records, orders, and project files.
  • Identify missing or conflicting information and follow up with the appropriate customer, contractor, or internal team.
  • Support the sales and operations teams with administrative and project-related tasks.
  • Assist with resolving customer or project-related issues in a timely and professional manner.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Previous customer service, administrative, or project coordination experience.
  • Experience in the construction, stone, countertop, cabinetry, millwork, or building materials industry is an asset.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Ability to stay focused while handling detailed and repetitive administrative tasks.
  • Basic understanding of fabrication and installation processes, or willingness to learn.
  • Ability to read and understand cabinet drawings and architectural plans.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Ability to work effectively in a fast-paced environment and manage multiple priorities.

Preferred Qualifications

  • Experience in the countertop, stone fabrication, cabinetry, millwork, or construction industry.
  • Familiarity with fabrication, templating, installation, and project coordination processes.
  • Experience communicating with contractors, builders, designers, or construction sites.
