Full job description

ResponsibilitiesOrder Desk & Customer Service

  • Respond to customer inquiries by phone and email in a professional and timely manner.
  • Process orders, confirm product details, check availability, and coordinate with internal team members.
  • Assist customers with product information, pricing, delivery timing, and documentation.
  • Maintain accurate customer, order, and quote records.
  • Follow up on open quotes and outstanding customer requests.

Quotes, Cost Sheets & Invoicing

  • Prepare customer quotes using supplier pricing, freight costs, margins, and internal cost sheets.
  • Assist with cost sheets and pricing calculations.
  • Prepare and issue invoices.
  • Review purchase orders and ensure details match quotes, pricing, quantities, and delivery terms.
  • Coordinate with purchasing, warehouse, and management to ensure orders are handled correctly.

Inside Sales & Account Support

  • Proactively identify related products customers may need.
  • Suggest add-on products where appropriate.
  • Help grow sales from existing customers through follow-up and product knowledge.
  • Support customer relationships with professionalism, accuracy, and responsiveness.
  • Learn company's product lines and become comfortable discussing common applications.

Graphic Design, Drawings & Catalogue Support

  • Assist with editing and creating product drawings, catalogue pages, product sheets, and marketing materials.
  • Update product literature, forms, and internal documents.
  • Work with existing templates and branding.
  • Assist with basic layout, image editing, and document preparation.
  • Experience with Adobe Illustrator, InDesign, Photoshop, Canva, or similar software is an asset.

Administrative Support

  • Support general office administration as needed.
  • Maintain organized files and records.
  • Assist with supplier documentation, certificates, freight paperwork, and customer forms.
  • Help improve internal processes, templates, and product information.

Qualifications

  • Experience in order desk, inside sales, customer service, sales coordination, or administrative support.
  • Strong attention to detail and accuracy with numbers, pricing, and paperwork.
  • Comfortable speaking with customers by phone and email.
  • Ability to follow up proactively rather than waiting for direction.
  • Good computer skills, including Microsoft Office, Excel, Outlook, and general business software.
  • Experience preparing quotes, invoices, purchase orders, or cost sheets is an asset.
  • Graphic design or catalogue/layout experience is a strong asset.
  • Experience with industrial, marine, hardware, construction, manufacturing, or distribution businesses is an asset.
  • Willingness to learn technical products.

Pay: $58,000.00-$68,000.00 per year
