We are looking for a Fleet Manager to join our Fleet Department team in Mississauga.
SUMMARY:
The Fleet Manager oversees day-to-day operations of the company’s fleet across all branches in Canada, including vehicle acquisition, lifecycle planning, maintenance coordination, vendor management, and cost control. This role ensures the fleet operates efficiently, cost-effectively, and supports operational needs across all business units. The Fleet Manager also acts as the primary liaison with the external fleet management company (FMC), ensuring optimal service delivery and accurate data reporting. Their goal is to optimize fleet value while minimizing risk throughout the lifecycle of our vehicles.
This role is supported by a Fleet Compliance administrator as a direct report.
In this position, the chosen candidate will closely collaborate with internal stakeholders including Operations, Finance, HR, IT, and Health & Safety, as well as external suppliers. The primary objective is to enhance processes, develop robust sourcing strategies, and achieve cost savings effectively. Additionally, the role involves working with company management to anticipate future needs and ensure fleet best practices are implemented across all branches. Strategic agility and analytical prowess are essential for maximizing procurement effectiveness within designated categories and enhancing overall value.

$80k - $100k
DUTIES AND RESPONSIBILITIES:
Fleet Acquisition, Lifecycle & Disposal
Strong knowledge of vehicle lifecycle management, TCO, and vendor management.
Experience working with Fleet Management companies preferred.
Knowledge of maintenance workflows, telematics systems, and fuel programs.
Intermediate to advanced Excel; strong analytical capabilities.
High level knowledge of ministry regulations related to heavy duty vehicles.
Strong data management and organizational skills
Valid G licence
French speaking is an asset
EDUCATION/TRAINING:
Bachelor's degree in supply chain management
3–7 years in fleet operations, maintenance, procurement, or related field.

DUTIES AND RESPONSIBILITIES:
Fleet Acquisition, Lifecycle & Disposal
- Lead the vehicle acquisition process including developing specifications, obtaining quotes, evaluating options, and preparing annual budgets.
- Work with Fleet Management Company to provide Total Cost of Ownership (TCO) comparisons (lease, fuel type, maintenance costs, depreciation).
- Manage vehicle lifecycle planning to determine optimal replacement timelines based on age, mileage, residual value, and repair trends.
- Oversee vehicle disposal processes (auction, trade-in, resale) to maximize resale value and ensure timely removal of retired assets.
- Coordinate upfitting requirements with vendors (decals, safety equipment, racks, telematics installs etc.)
- Act as the primary liaison with the external fleet management company
- Review and approve FMC recommendations for maintenance, repair approvals, lifecycle replacements, and remarketing.
- Oversee vendor SLA performance (timeliness, cost, data accuracy, service quality).
- Negotiate pricing or review contracts for maintenance programs, leasing, fuel programs, and telematics services.
- Monitor FMC dashboards (downtime, maintenance, PM compliance, engine alerts) and ensure issues are actioned quickly.
- Track maintenance spend, trends and identify cost-reduction opportunities (warranty recoveries, vendor consolidation, PM program optimization).
- Ensure vehicles meet operational readiness targets and downtime is minimized.
- Collaborate with mechanics or service providers on major repairs, recalls, and safety-related issues.
- Manage fuel card programs (fraud alerts, misuse, replacement cards, reporting).
- Monitor fuel consumption trends and identify abnormalities (idling, unauthorized fueling, inefficiencies).
- Oversee telematics platform dashboards (fault codes, productivity, utilization).
- Ensure proper installation and deactivation of telematics hardware during new vehicle onboarding and decommissioning.
- Oversee vehicle assignments, STL set ups/replacement planning, and relocation of units between branches or regions.
- Manage vehicle handovers and returns, ensuring proper documentation and inspections.
- Support field teams with equipment needs, towing coordination, breakdown response, and replacement vehicle sourcing.
- Maintain inventory updates of fleet assets
- Support annual fleet budgeting including lease costs, fuel budget, maintenance forecasting, and capital replacement planning.
- Prepare monthly fleet cost reports (fuel, maintenance, lease, accident costs, downtime impacts).
- Conduct ROI and cost-benefit analyses for electrification, alternative fuel vehicles, and operational efficiency programs.
- Develop strategies to reduce fleet TCO through optimization, vendor management, and data-driven decision-making.
- Implement and enforce fleet policies: vehicle take-home, idling, fueling, maintenance procedures, and accident reporting.
- Develop SOPs for acquisition, PM scheduling, repair approvals, lifecycle management, and vehicle return/check-in.
- Coordinate with compliance administrator to ensure operational processes support National Safety Code (Provincial Carrier Profile) requirements.
- Work closely with operations, compliance, procurement, branch contacts, safety, finance, and HR to support business needs.
- Assist capital planning discussions with Finance and leadership.
- Coordinate with safety/compliance teams to align operational fleet practices with regulatory standards
Strong knowledge of vehicle lifecycle management, TCO, and vendor management.
