Full job description

The Richards Group is looking for a sharp, proactive, and marketing-savvy Real Estate Assistant to support independent agents within our ecosystem. This is a high-level, dynamic role where you will be involved across the full lifecycle of an agent's business, from listing preparation and deep CRM management to creative marketing execution and client experiences.

We are a tight-knit, high-performing team based in Toronto’s East End. We love what we do, we love our neighborhood, and we’re looking for someone who shares that same energy and wants to grow with us.

The Details

  • Compensation: $28.00 / hour
  • Position Type: Part-Time (with clear potential to transition into a Full-Time role)
  • Work Structure: Hybrid. Please note: This is not a fully remote role. You will be required to be in-person for listing setups, team collaboration, and local tasks.
  • Location: Toronto, ON (M4L area). Strong preference will be given to candidates living in or very near Toronto’s East End.

Key Responsibilities

1. Listing & Transaction Management

  • Coordinate transactions from listing preparation through to closing.
  • Prepare offers, amendments, manage conditions, and track critical timelines.
  • Ensure all documentation is complete, accurate, and compliant.
  • Liaise professionally with lawyers, lenders, inspectors, and cooperating agents.
  • Support on-site listing preparation, walkthroughs, and launch timelines.

2. Marketing Execution & Social Media

  • Coordinate closely with our listing coordinator and marketing lead to ensure cohesive property presentations.
  • Film, edit, and create engaging content (Reels/TikToks/Stories) to execute social media strategies.
  • Maintain absolute consistency in brand voice across all platforms.
  • Monitor engagement and refine content based on what resonates with our audience.

3. Database & CRM Management (Follow Up Boss)

  • Take ownership of Follow Up Boss, focusing on lead flow, tracking, and conversion pipelines.
  • Build, maintain, and optimize follow-up systems, action plans, and automations.
  • Support email marketing campaigns and database segmentation.

4. Client Experience & Community Events

  • Help deliver a high-touch, seamless client experience that keeps clients coming back.
  • Coordinate client appreciation events, seminars, and local community initiatives.

Who You Are (Requirements)

  • Experienced: You have 2 to 5+ years of hands-on experience in Toronto real estate in an administrative, assistant, or operations role.
  • East End Vibe: You know and love the East End (or live close by). You have a vibrant, collaborative personality that fits into a modern, forward-thinking boutique team environment.
  • Tech & Marketing Savvy: You actually enjoy content creation, understand what makes a good Reel, and possess at least 1 year of hands-on marketing experience.
  • CRM Whiz: You have 1+ years of experience with Follow Up Boss (or a similar major real estate CRM) and enjoy organizing data.
  • Mobile: You possess a valid Ontario Driver’s Licence and regular access to a reliable vehicle for local real estate errands.
  • Licensed? An RECO license is an asset, but not a strict requirement.

Experience & Certifications Summary

  • Real Estate Admin/Assisting: 2 years (Required)
  • Marketing/Content Creation: 1 year (Required)
  • Follow Up Boss (or equivalent CRM): 1 year (Preferred)
  • Driver's Licence & Vehicle: Required
  • Location: Must be able to reliably commute to Toronto, ON M4L 1H7 (Living in the East End is a massive plus).
