QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Specific Accountabilities
The Office Administrator is key in providing comprehensive administrative support to the Simulation Centre. This position is responsible for managing various aspects of simulation scheduling (in tandem with Saskatchewan Polytechnic’s Academic Scheduling Team), including data entry, coordination, and resolving scheduling conflicts with the program areas served by the Centre. Additionally, the Office Administrator supports the scheduling and onboarding of standardized patients and assists with the day-to-day operations of the Simulation Centre. The role requires close collaboration with the Academic Chair and Program Head.

1. Collaborate with the Academic Scheduling Team at Saskatchewan Polytechnic to manage the simulation room booking process.
2. Analyze and validate scheduling data received from the Academic Scheduling Team to ensure appropriate allocation of simulation spaces (high fidelity, low fidelity) and compliance with room requirements.
3. Coordinate with the Program Head and simulation team to ensure all necessary supplies are ready and available for scheduled activities.
4. Create reports on simulation utilization and capacity. Generate reports on a regular schedule and unique as requested by the Program Head and Academic Chair.
5. Coordinate standardized patient recruitment, onboarding, and orientation.
6. Oversee standardized patients’ training and ongoing support during their time at the Simulation Centre.
7. Assist the Academic Chair, Program Head, and other administrative staff to create efficiencies, including creating manuals, developing policies and procedures, and maintaining comprehensive filing systems.
8. Prepare purchase requisitions for approval, track supplies and capital purchases through FAST, and initiate payment of expenditures.
9. Provide orientation to all new staff, including office procedures and forms.
10. Other administrative duties as assigned.

Duties

Required Qualifications, Skills and Abilities (QSA)
  • A recognized Office Education or Business Certificate, or an equivalent combination of education, training and experience.
  • Two years recent, relevant experience in administrative work.
  • Intermediate computer skills and experience with software packages including word processing, spreadsheets, email, and Internet browsers.
  • Demonstrated ability in data input, including ability to update, retrieve, maintain, format, and transmit information using database software, while maintaining speed and accuracy.
  • Effective communication skills, including both oral and written.
  • Strong problem-solving skills, including the ability to calculate averages and percentages, analyze information to determine trends, and make complex decisions independently using general guidelines.
  • Strong organizational skills, including the ability to prioritize many competing and diverse tasks, and to complete them within tight timelines, with minimal supervision.
  • Ability to work effectively as part of a team, and with a variety of internal and external stakeholders.
  • Ability to apply and explain policies and procedures.
  • Ability to deal effectively with difficult situations.
  • Demonstrate valuing diversity.
