Maintenance Personnel – Job Description
The Maintenance Personnel is support staff to the Manager and serves as a floating maintenance resource within the Auxilium Property Management portfolio. This position is not assigned exclusively to a single property and may be required to work at various properties managed by Auxilium as operational needs dictate.
The primary purpose of this role is to provide vacation, illness, and leave coverage for on-site maintenance personnel, assist with special projects, support preventative maintenance programs, and provide additional maintenance assistance where required throughout the portfolio.
Management expects all staff members to develop positive public relations skills and interact respectfully with members, residents, guests, contractors, visitors, and fellow employees.
The Manager may, at times, require the Maintenance Personnel to perform other tasks that do not fall within the framework of this job description, provided such tasks are safe, reasonable, and within the employee's capabilities, training, and applicable legal requirements.
Confidentiality
The maintenance personnel will keep complete confidentiality about the Co-operative, its members/residents, and other staff. A full Non-Disclosure Agreement is signed.
Responsibilities and Qualifications
Company Vehicle
The Maintenance Personnel will be provided with a company vehicle to facilitate travel between properties and perform assigned duties throughout the Auxilium portfolio.
· The assigned vehicle shall be kept at the employee's residence when not in use unless otherwise directed by Management.
· The employee is responsible for maintaining a valid Ontario Class G Driver's Licence and an acceptable driving record throughout their employment.
· The employee shall immediately notify Management of any suspension, restriction, charge, conviction, accident, or other matter that may affect their ability to operate the company vehicle.
· The employee is responsible for ensuring the vehicle is maintained in a clean and professional condition and for promptly reporting any mechanical issues, damage, or safety concerns.
· The employee shall take all reasonable precautions to secure the vehicle, keys, fuel cards, tools, equipment, and materials entrusted to them.
· The employee shall comply with all applicable traffic laws, company policies, insurance requirements, and vehicle operating procedures.
· Personal use of the company vehicle is prohibited unless expressly authorized in writing by Management.
· Vehicle assignments may be modified or revoked at Management's discretion based on operational requirements, policy compliance, or business needs.
Preventative and Routine Maintenance – Common Areas & Grounds
· Valid Ontario Class G Driver's Licence with a satisfactory driving record and the ability to travel independently between multiple properties throughout the Auxilium portfolio.
· Maintain all tools and equipment in good working order
· Work with the Manager to prepare, maintain, and revise preventative maintenance schedules
· Tour the property regularly to ensure the well-being of the premises and identify deficiencies
· Maintain communication with the Manager during scheduled working hours as applicable
· Assist with seasonal maintenance (winter/summer readiness and inspections), including maintaining snow logs and performing minor interim snow clearing of egress routes and main entrance areas only when required for safety and when the snow contractor is delayed, using Co-op provided equipment and materials (e.g., snow blower, shovel, ice melt/salt), must wear required PPE (including appropriate winter footwear/cleats, gloves, and high-visibility wear as applicable), and must immediately report to the Manager if conditions are unsafe or beyond the scope of safe work practices.
· During winter months and as directed by the Manager, take general reference photos of priority areas (e.g., main entrances, primary egress routes, and high-traffic walkways) to support snow logs and document conditions for risk management purposes. Photos are to be taken when safe and feasible, generally once in the morning, once mid-day, and once before end of shift, and are not required for every area. Photos must be uploaded/stored only in Auxilium approved systems and should avoid capturing residents, personal belongings, unit interiors, or identifying information where reasonably possible. Incidental capture (e.g., vehicles or licence plates) may occur when documenting outdoor common areas and is permitted where necessary for safety and operational documentation. Photos may be used only for legitimate business purposes, including property documentation, safety management, incident investigations, insurance claims, and legal proceedings, and must not be shared publicly or used for any personal purpose. Photos are retained for risk management and insurance documentation purposes in accordance with Auxilium retention policies and privacy requirements.
· Maintain building exterior areas including walkways, entrances, common corridors, laundry rooms, amenity rooms, and other shared facilities.
Life and Safety
· Perform visual checks of life safety and emergency equipment as assigned (daily, weekly, monthly) and report deficiencies immediately
· Record findings and actions taken in logbooks or electronic tracking systems as directed by the Manager
· Carry out preventative and routine maintenance according to schedules and work orders, within the limits of training and applicable safety regulations
· Coordinate access for qualified vendors/contractors where required (fire systems, emergency lighting, extinguishers, alarms, etc.)
Materials and Supplies
· Purchase supplies approved by the Manager
· Pick up or take delivery of maintenance supplies
· Receive shipments and check packing slips
· Restock inventory
· Check and maintain records of supplies, inventory, and equipment as assigned
General Repairs – Units & Common Areas (Minor Repairs Only)
Note: Maintenance personnel may perform minor repairs and replacement of “like-for-like” components where permitted by law, within training, and where no permits, inspection, or trade licensing is required. Work requiring trade certification, permits, or inspection must be assigned to qualified licensed contractors.
Plumbing (Minor Maintenance Only)
· Clear clogs in toilets, bathtubs, basins, and kitchen sinks using safe non-invasive methods (plunger/snake)
· Replace toilet flappers, tank handles, fill valves/fluid masters, and supply lines (where accessible and safe)
· Replace shower heads, hoses, and tub spouts/diverters where no valve or piping changes are required
· Replace faucet cartridges and faucets only when like-for-like and where no shut-off valve/piping alteration is required
· Replace basket strainers and drain stoppers in sinks and basins
· Identify leaks and report immediately; coordinate licensed plumber for repairs requiring piping/valve replacement, alterations, or permit requirements
· Test shut-off valves as directed and report any failures or concerns
Electrical (Basic / Non-Invasive Only)
· Replace light bulbs (including bathroom, kitchen, dining/hallway, bedrooms, common areas)
· Replace cover plates and switch plates
· Reset breakers where safe and permitted (after reporting to Manager)
· Replace approved batteries in smoke/CO detectors where applicable and permitted
All electrical repairs beyond the above (including internal appliance components, wiring, terminals, timers, elements, outlets, switches, fixtures, or anything requiring access to energized components) must be completed by an ESA-licensed electrical contractor.
Carpentry / Doors / Hardware
· Repair kitchen drawers
· Replace kitchen cabinet door hinges
· Repair/replace closet doors and tracks
· Repair interior unit doors (minor adjustments, hinge tightening, minor patching)
· Replace or adjust door handles/passage sets and locks as directed
· Install entrance door viewers (where permitted)
· Install door sweepers/weather stripping
· Replace door closers (where applicable)
· Replace window locks where appropriate
· Re-caulk bathtubs, basins, countertops, baseboards
· Minor plaster repairs up to 2 sq. ft.
Life Safety Devices (Non-System Components)
· Replace smoke detectors and carbon monoxide detectors where permitted and directed by the Manager
· Ensure devices are installed according to manufacturer instructions
· Report recurring alarms or electrical issues immediately to the Manager for follow-up by qualified vendors
Note: Maintenance personnel do not service or repair building fire alarm panels, sprinkler systems, emergency lighting systems, or other regulated fire safety systems. These services must be completed by qualified vendors.
Appliances (Minor / Non-Electrical Component Replacement Only)
· Replace stove knobs
· Replace fridge bulbs (where accessible)
· Replace fridge shelf retainer bars, door shelf bins, and door handles
· Replace oven light bulbs (where accessible without disassembly beyond cover removal)
All appliance electrical repairs (including terminal blocks, burner wiring, oven elements, timers, fuses, internal electrical components, or disassembly of energized parts) must be completed by qualified licensed service technicians or an ESA licensed electrical contractor, as applicable.
Miscellaneous / General
· Install curtain tracks, shower curtain rods, towel bars
· Minor patching and painting touch-ups as directed
· Escort contractors and coordinate access to units/common areas
· Complete pre-move-out inspections and provide the Manager with a written summary of deficiencies, identifying items that can be completed in-house and items requiring external licensed trades/contractors.
· Support move-in/move-out inspections and deficiency reporting as directed
· Respond to work orders according to priority and document actions taken
· Maintain cleanliness and organization of maintenance shop/storage areas
Cleaning
· Daily cleaning of property and common areas
· Litter pick-up on grounds
· Changing garbage bins and recycling
· Carpet cleaning (as assigned)
· Community room & management office cleaning and setup support
Limitations
Maintenance personnel will not perform work that requires licensing, certification, permits, inspection, or specialized trade qualification under applicable Ontario laws and regulations. Where such work is required, maintenance personnel will report the issue to the Manager and coordinate access for qualified licensed contractors.
Pay: $46,000.00-$50,000.00 per year
