Real Estate Administrative Assistant

City Savvy Team

Location: In office
Position: Full-Time

Salary: $50,000-$60,000 (plus bonuses)

About the Role

We're looking for a highly organized, proactive, and detail-oriented Real Estate Administrative Assistant to become an integral part of our growing real estate team.

This role is ideal for someone who enjoys creating efficient systems, managing multiple priorities, and providing exceptional support behind the scenes. You'll play a key role in keeping our business running smoothly by managing the day-to-day administration, allowing us to focus on serving our clients and continuing to grow our business.

We're looking for someone who takes pride in their work, enjoys working independently, and is excited to grow with our team for the long term.

Responsibilities

As our Real Estate Administrative Assistant, you will be responsible for:

  • Preparing listing and offer paperwork
  • Managing listing files from start to finish
  • Creating and maintaining MLS listings
  • Coordinating photography, staging, floor plans, measurements, and other listing services
  • Scheduling showings, appointments, inspections, and client meetings
  • Tracking transaction timelines, conditions, and important deadlines
  • Communicating with lawyers, mortgage brokers, inspectors, stagers, photographers, and clients
  • Maintaining organized digital filing systems using Dropbox and other cloud-based platforms
  • Ensuring all files meet brokerage and regulatory compliance requirements
  • Ordering signage, lockboxes, feature sheets, and marketing materials
  • Preparing buyer and listing presentation packages
  • Updating and maintaining the CRM and client database
  • Assisting with social media scheduling and marketing initiatives
  • Coordinating client appreciation events, mailings, and follow-up campaigns
  • Managing calendars, email correspondence, and general office administration
  • Providing day-to-day administrative support to both Kristan and Jaicel

What We're Looking For

The ideal candidate will have:

  • Previous experience in real estate administration (strongly preferred)
  • Knowledge of Ontario real estate forms, transactions, and listing processes
  • Experience with MLS and real estate software
  • Strong computer skills, including Microsoft Office, Google Workspace, Dropbox, and cloud-based systems
  • Excellent organizational and time-management skills
  • Outstanding written and verbal communication abilities
  • The ability to manage multiple priorities while maintaining exceptional attention to detail
  • A professional, positive, and client-focused attitude
  • The ability to work independently with minimal supervision
  • A willingness to learn new technologies and AI tools that improve efficiency
