Position Title: Account/Project Coordinator

Reports to: Account Director

Position Summary:

This position is responsible for supporting the account management team on a project-to-project basis through managing project deadlines and deliverables, as well as reporting for work and outcomes. It requires attention to detail, organization, and problem-solving abilities.

Project Coordination

  • DMG team projects and reporting where required.
  • Actualize tasks from projects and put in DMG process, monitor progress, timeline, and outcomes.
  • Trafficking internal team and cross-company communications.
  • Vendor relations and procurement for project-specific needs as it relates to job execution.
  • Any required tasks or duties as assigned by the Account Director.

Duties and Responsibilities:

  • Define, establish, and manage the scope of assigned projects.
  • Along with the Account Lead, the project manager will attend and prepare for regular meetings with clients to understand their requirements and objectives, keeping them updated about the project’s progress.
  • Following the direction of the Account Lead, schedule and lead project specific meetings with team members, starting with a project kickoff meeting and regular check-in meetings.
  • Monitoring project budget, coordination, and monitoring projects as it relates to Harvest allocation.
  • Planning a project calendar/schedule.
  • Assigning tasks and responsibilities to team members.
  • Problem-solving throughout the different phases of the project and presenting solutions to the Account Lead.
  • Double-checking project deliverables to whether they fit the client’s requirements.
  • Regularly sending progress updates to clients, collecting feedback, and relaying feedback to relevant team members.
  • Delivering the final deliverables and project report to the client.
  • Assist other staff when required.
  • Contributes to team effort by accomplishing related results.
  • Writing internal and external communication documents.
  • Coordinate internal and external deliverables.
  • Quality control in coordination with Account lead.
  • Assist with budget set up, estimates, and invoicing descriptions based on specific project details as requested.
  • Documents and reports client activities and outcomes.

Accountability:

  • Accurate and timely scheduling.
  • Good rapport with print representatives.
  • Good office protocol.
  • Maintain a good public image for Douglas Marketing Group.
  • Act in accordance and best practice of client and Douglas Marketing Group.

  • Effective communicator to maintain awareness of the clients’ needs.
  • Experience working as part of a team and taking initiative.
  • Detail-oriented and thorough, follow up with internal team to ensure quality and timeliness.

  • Ability to handle stressful situations/deadlines with ease.
  • Proficient in all Microsoft Office programs and ability to quickly learn new technologies and processes.
