Job Overview

We are seeking a detailed oriented and analytical Project Controls Coordinator to join our team. The Project Controls Coordinator serves as the central point of coordination for project controls data across multiple projects. Working closely with Project Managers, Superintendents, and Field Project Coordinators, this role ensures that schedules, cost reports, progress updates, and claims are accurate, complete, and submitted on time.


The position is responsible for maintaining project controls systems and processes, updating project budgets, analyzing cost forecasts and schedules, consolidating project performance data, and preparing reports for management. The role also supports consistent reporting standards and provides training and guidance to field teams.


This position will be based in Sherwood Park, AB and occasional travel to the project site may be required.


Responsibilities

  • Coordinate the submission of weekly and monthly project reports, including schedule updates, cost reports, progress reports, and progress claims.
  • Review field-submitted data for accuracy, completeness, consistency, and compliance with established reporting standards.
  • Set up new projects within project controls systems and maintain project budgets and cost-control records.
  • Consolidate completed project information into the project key performance indicator database.
  • Compile data from multiple projects into standardized dashboards, management reports, and executive summaries.
  • Liaise regularly with Project Managers, Superintendents, and Field Project Coordinators to follow up on outstanding, incomplete, or inaccurate reports.
  • Review updated project schedules and shift progress reports to ensure field information is accurately incorporated.
  • Assist with the preparation of portfolio-level progress reports, cost forecasts, cash-flow projections, and variance analyses for senior management.
  • Monitor actual and forecasted costs against approved budgets and identify potential cost or schedule concerns.
  • Assist with change orders, claims, and the assessment of their cumulative impact on project costs and schedules, as required.
  • Develop, maintain, and support compliance with standardized reporting templates, submission timelines, and data-quality standards.
  • Identify trends, risks, variances, and inconsistencies in project data and escalate significant concerns to leadership.
  • Prepare reporting packages, presentations, and briefing materials for monthly project review meetings.
  • Maintain organized and accurate project controls records and supporting documentation.
  • Train and support field staff in the use of reporting tools, templates, dashboards, and submission processes.
  • Recommend improvements to project controls processes, reporting tools, and data-management practices.
  • Perform other related duties as assigned.

Requirements

  • Diploma or degree in Construction Management, Engineering, Business Administration, or a related discipline.
  • Three to five years of experience in project controls, project reporting, cost control, cost engineering, or a related construction environment.
  • Experience coordinating reporting across multiple concurrent projects or at a portfolio level is preferred.
  • Proficiency in Primavera P6 and/or Microsoft Project.
  • Advanced Microsoft Excel skills, including experience working with formulas, pivot tables, data analysis, and large datasets.
  • Experience with Microsoft cloud-based tools such as SharePoint, Forms is considered an asset.
  • Experience developing or maintaining Power BI dashboards or similar reporting tools.
  • Strong understanding of construction project lifecycles, terminology, scheduling, budgeting, forecasting, and the relationship between cost and schedule performance.
  • Strong analytical and problem-solving skills, with the ability to identify trends, variances, risks, and data inconsistencies.
  • Excellent organizational and time-management skills, with the ability to coordinate recurring reporting cycles across multiple projects.
  • Strong written and verbal communication skills, including the ability to follow up effectively with field and project teams.
  • High attention to detail and a commitment to data accuracy and reporting consistency.
  • Ability to work independently in an office environment while coordinating effectively with remote and site-based teams.
  • Ability to manage competing priorities and meet established reporting deadlines.
  • Must pass pre-employment drug and alcohol test, including cannabis.
