About Intlvac Thin Film

Intlvac Thin Film designs, manufactures, and supports advanced high-vacuum process equipment used in thin film deposition, ion beam processing, research, and industrial applications.

Our equipment is highly customized and engineered to meet specific customer requirements. Successful project execution requires close coordination between Engineering, Production, Purchasing, Service, Sales, and our customers.

The Opportunity

We are looking for a Project Coordinator to coordinate the execution of custom-engineered equipment projects from order release through manufacturing, testing, shipment, installation, and final project closeout.

Reporting to the Production Manager, you will be the central point of coordination across multiple departments, ensuring that project schedules, materials, engineering deliverables, production activities, and customer requirements stay aligned.

This is an excellent opportunity for an organized, technically minded professional who enjoys working in a custom manufacturing / engineer-to-order (ETO) environment and is comfortable managing multiple priorities.

Key Responsibilities

Project Planning & Coordination

  • Track custom equipment projects from order release through shipment and final customer acceptance.
  • Develop, maintain, and monitor project schedules, milestones, and deliverables.
  • Identify schedule risks, resource constraints, procurement issues, and potential delays before they impact the project.
  • Coordinate activities between Engineering, Production, Purchasing, Quality, Inventory, Service, Shipping, and Sales.
  • Track engineering drawing, BOM, work instruction, and documentation releases.
  • Ensure project documentation and revisions are current and properly controlled.
  • Support production priorities and resource planning with the Production Manager.

Manufacturing & Production

  • Coordinate fabrication, machining, assembly, integration, and testing activities.
  • Monitor project progress and resolve cross-department scheduling conflicts.
  • Support production scheduling and workload balancing.
  • Ensure long-lead materials and critical components are available when required.
  • Coordinate subcontracted manufacturing activities where applicable.

Purchasing & Supply Chain

  • Work with Purchasing to monitor supplier commitments and material deliveries.
  • Identify procurement risks and coordinate mitigation plans.
  • Track long-lead and critical components against project schedules.
  • Coordinate expedited purchasing when required.

Customer & Contract Coordination

  • Coordinate project communications and support customer communications as directed.
  • Coordinate customer design reviews, progress meetings, and project updates.
  • Track contractual milestones, customer approvals, and project deliverables.
  • Ensure customer specifications and requirements are incorporated into project execution.

Installation, Commissioning & Closeout

  • Coordinate shipment readiness with Production and Shipping.
  • Support planning for field installation and commissioning.
  • Coordinate Service personnel scheduling for customer installations when required.
  • Track punch-list items through final project closeout.

Continuous Improvement

  • Identify opportunities to improve project scheduling, documentation, manufacturing workflows, and communication.
  • Develop and improve project management tools and reporting methods.
  • Participate in Lean Manufacturing and continuous improvement initiatives.

Qualifications

  • Diploma or Bachelor’s degree in Engineering, Engineering Technology, Project Management, Manufacturing, or a related discipline.
  • 3–5 years of experience coordinating projects in a custom manufacturing, engineer-to-order (ETO), or industrial equipment environment.
  • Experience with fabricated assemblies, mechanical systems, automation, industrial equipment, or capital equipment is preferred.
  • Familiarity with ERP/MRP systems.
  • Proficiency with Microsoft Office, particularly Excel.
  • PMP or CAPM certification is an asset.

What We're Looking For

  • Strong understanding of custom manufacturing and production processes.
  • Ability to read and work with engineering drawings, BOMs, and revision-controlled documentation.
  • Excellent organizational, planning, and time-management skills.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple complex projects and competing priorities.
  • Strong interpersonal skills and the ability to coordinate cross-functional teams.
  • High attention to detail and a customer-focused approach.
  • Working knowledge of manufacturing quality systems and project documentation.
  • Ability to work independently while maintaining close collaboration with the Production Manager and other departments.

Preferred Experience

Experience with custom-engineered industrial or capital equipment such as vacuum systems, automation equipment, pressure vessels, thermal processing equipment, aerospace equipment, or other engineered-to-order machinery is highly desirable.

Experience with customer design reviews, contract milestone management, Factory Acceptance Testing (FAT), Site Acceptance Testing (SAT), installation, or commissioning is an asset.

How Success Will Be Measured

Success in this role will be demonstrated through:

  • On-time project completion
  • Schedule adherence
  • Accurate and timely project documentation
  • Procurement and material availability aligned with project schedules
  • Reduction in production delays and rework
  • Effective coordination of engineering changes
  • Customer satisfaction
  • Successful project closeout

Why Join Intlvac?

You will have a direct impact on the successful delivery of highly customized, technically sophisticated equipment. This is a hands-on coordination role where your ability to connect people, information, materials, and schedules will make a measurable difference to project performance.

If you enjoy custom manufacturing, technical problem-solving, and making complex projects happen, we would like to hear from you.
