Role Description

The function of the Event Specialist is to deliver exceptional client experiences while providing dedicated support across distinct restaurant properties. The Event Specialist will be an expert in these venues, understanding their unique attributes and operating styles, and will act as the client’s main point of contact throughout the entire planning process up to the event’s execution. While not part of the restaurant operations team, it is essential that the Event Specialist is deeply familiar with how each of the properties functions to ensure a smooth handoff and execution of the event.

The Event Specialist will handle bookings and organize private room bookings and full restaurant buyouts, which may involve pre-set food and beverage menus, special instructions, and beverage details.

Responsibilities

  • Populate OpenTable/ reservation systems with all large reservation booking
  • Respond to all client emails within 18 hours
  • Conduct thorough post-event follow-ups
  • Coordinate with the PR team in advance of VIP guest visits to arrange any special amenities as appropriate
  • Work with clients to plan, organize, and finalize event details
  • Guide clients in food and beverage selections to meet or exceed minimum spend requirements
  • Draft contracts and event sheets for review and share with operations teams
  • Attend weekly site-specific events meetings
  • Maintain strong, collaborative relationships with each venue's operations team
  • Elevate the client experience by delivering exceptional service from planning through execution
  • Escalate client concerns and complaints to the General Managers and/or Directors promptly
  • Be present onsite to greet clients and assist in event transitions when necessary - particularly for full buyouts or events requiring additional coordination
  • Coordinate with operations and marketing to review and update group/sales packages for restaurant properties

Qualifications

  • Demonstrated experience in event coordination and booking
  • Proven ability to build sales andmeet quotas through various strategies of networking and promotion
  • Strong organizational, writing, and interpersonal skills
  • High attention to detail and strong follow-through
  • Comfortable operating in a fast paced, multi‑stakeholder environment
  • Ability to manage multiple priorities simultaneously, with strong planning and time management skills
  • Experience creating or editing communication materials (e.g., presentations, emails, or event content) for different audiences
  • Legally entitled to work in Canada
