About Thermtest

Thermtest Inc. is one of the fastest-growing scientific companies in Atlantic Canada and a leading international developer of thermal instruments and testing services. For over 20 years we have built thermal conductivity equipment for universities, research labs and industries from aerospace to athletic wear. Our headquarters, testing lab and R&D facility are in Hanwell, New Brunswick.

The Role

The Operations Specialist keeps our bookkeeping, payroll, office and purchasing running, and makes each of them run better. You will own recurring work: daily orders, biweekly payroll, monthly reconciliations. You will also be expected to spot the slow, manual or error-prone steps in that work and fix them.

This is not a role where you are handed a finished playbook. We use multiple systems and AI tools, and we want you to use them to build the playbook with us.

What You’ll Do

  • Manage day-to-day bookkeeping, including invoicing, supplier bills and month-end reconciliations
  • Run payroll and support HR administration across the company
  • Process customer orders and keep records accurate and current
  • Be the first point of contact for customers, suppliers and visitors
  • Work across departments to keep information moving and follow tasks through to completion
  • Support purchasing and supplier communication, with responsibility growing over time
  • Coordinate office needs, travel and general administration
  • Document how work gets done so processes are clear and repeatable
  • Identify slow or manual steps and put better tools and processes in place
  • Take on projects across the business as the role develops

What You Bring

Required

  • 2+ years in administration, operations, bookkeeping, purchasing or a similar role
  • A real example of a process you improved on your own initiative
  • Intermediate Excel skills
  • Strong attention to detail and comfort juggling recurring deadlines with ad hoc requests
  • The confidence to follow up with people across the company, customers and suppliers
  • Discretion with confidential payroll and financial information

Assets

  • A degree or diploma in business, administration or a related field
  • Experience with QuickBooks, Payworks, Dext or an ERP system
  • Experience with Jira or AI tools

Pay: $50,000.00-$60,000.00 per year
