Our team consists of highly qualified physiotherapists, chiropractors, massage therapists, and dedicated administrative staff who work collaboratively to help our patients achieve their recovery goals. Why We Need You

Our clinic is experiencing significant growth, and we are looking to build a stronger team! We need someone who is motivated to learn about the industry and is ready to make waves together. You will play a crucial role in managing and optimizing patient engagement and retention.

As the Patient Experience Coordinator, you'll be the welcoming face of our clinic, ensuring seamless operations and exceptional patient interactions while combining administrative expertise with a passion for healthcare.

Key Responsibilities

Patient & Administrative Support:

  • Schedule appointments, manage calendars, and optimize practitioner workflows
  • Manage practitioners' caseload and performance metrics
  • Conduct patient follow-ups (appointment reminders, post-treatment check-ins)
  • Handle billing, invoicing, and insurance verification with accuracy
  • Answer calls/emails, online inquiries, and greet patients with empathetic customer service
  • Track patient referrals and maintain relationships with healthcare providers
  • Participate in monthly front of house level 10 meetings

Clinic Operations & Facility Management:

  • Perform opening/closing tasks (setting up systems, securing the clinic)
  • Ensure cleanliness and organization of front desk, waiting areas, and treatment rooms
  • Manage inventory, restock supplies, and coordinate equipment maintenance
  • Assist with minor facility upkeep (reporting repairs, organizing storage)

Marketing & Community Engagement:

  • Support social media updates, newsletters, and promotional campaigns
  • Participate in community events (health fairs, workshops)
  • Promote clinic services through active interaction with various referral sources
  • Track marketing efforts and patient feedback to improve outreach

Requirements

Education & Certifications:

  • Certificate/Diploma in OTA/PTA, or Medical Office Administration
  • Diploma or degree in Kinesiology, Health Sciences, Biology, or related field (preferred)
  • Valid First Responder Certificate, CPR, and First Aid Certification

Experience:

  • 1+ years in customer service or healthcare administration (private practice experience a plus)
  • Basic understanding of medical billing, invoicing, or insurance processes
  • Previous experience in a healthcare setting is a plus, but not required

Skills:

  • Excellent communication and interpersonal skills
  • Strong organizational, multitasking, and problem-solving abilities
  • Growth mindset and positive attitude
  • Proficiency with office software (MS Office, EMR systems)
  • Friendly, patient-first attitude with a collaborative mindset
  • Ability to multitask in a fast-paced environment

Flexibility:

  • Availability for evenings/weekends
