Early Childhood Education Centre
The UNB Early Childhood Centre has a long history of extensive research and curriculum development in early education including early literacies, family literacies, early learning and childcare, and kindergarten curricula. Research projects undertaken by the Centre are typically community-based and participatory. This centre partners with EECD, NBCC, NB Literacy Coalition, Born to Read, Talk with Me, and early learning and childcare sites provincially, nationally, and internationally. This centre serves as a demonstration site for the UNB/STU /NBCC education program and UNB Nursing Program.
WHAT WE OFFER
Part-time | 10-month Term | Fredericton | On-Campus
Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 25 hours per week
Part-time schedule to be determined within the regular working hours, in discussion with the department
Salary Range: $23.10 - $27.03 per hour
YOUR FOCUS
Reporting to the Children's Centre Lead/Faculty of the UNB Early Childhood Centre and working directly with the Early Childhood Team, the Administrative Assistant is responsible for providing administrative support and assisting with the daily operation within Early Childhood Education and the UNB Children's Centre.
- Maintain filing systems, office files, and account binders.
- Order office and classroom supplies and coordinate printing orders.
- Co-monitor the ECC email account and respond to general classroom and waitlist inquiries.
- Prepare and submit invoices and deposits.
- Assist faculty, staff, and guest speakers with travel planning and arrangements.
- Maintain and publish information on the Early Childhood Centre website.
- Negotiate and book facilities and catering for local and regional Early Childhood Centre workshops throughout the province.
- Manage accounts payable and receivable activities.
- Maintain staff records in accordance with New Brunswick Day Care Standards.
- Apply for the annual renewal licence for the UNB Children's Centre.
- Facilitate applications for external funding for Enhanced Support Workers and electronically file QIFS annual applications and quarterly reports.
- Maintain and update family and staff handbooks and coordinate their printing and distribution.
- Communicate with families, collect and negotiate fees, maintain a five-year waiting list, and prepare and distribute tax receipts.
- Conduct monthly financial reconciliations of parent payments through the ECC and BMO accounts and transfer parent e-transferred payments from the BMO account to the ECC account.
- Support the Children's Centre with general work orders and repairs and coordinate bookings for the kitchen, rink, and buses.
- Prepare staff change forms for submission to the Dean or Associate Dean, as required.
- Assist with classroom tours for families and inspectors, as required.
- Perform other related duties as assigned.
WHAT YOU BRING
- Diploma in office administration or business administration.
- 3-5 years of administrative experience.
Additional Strengths
- Excellent interpersonal and communication skills.
- Ability to receive faculty, students, early childhood educators, children and their families, inspection officers and community members in a courteous manner.
- Strong ability to prioritize and complete multiple tasks.
- Experience and knowledge of fundamental accounting.
- Familiarity with University Policies and Procedures.
- Skilled in using a variety of computer applications.
