Fireweed Heavy Truck & Equipment Repairs Ltd. Is an independent diesel repair shop. We offer a comprehensive range of repair services for all makes and models of heavy trucks, trailers, and equipment. We are dedicated to delivering quality repair solutions and also provide 24/7 mobile repair services to meet the needs of our customers. Located in Edmonton, AB, we take pride in being a reliable partner for commercial vehicle maintenance and repair.

We are seeking a highly organized and customer-focused Service Coordinator to support our growing service department. This role serves as a key point of contact for customers and internal teams, helping ensure a seamless and professional experience throughout the repair lifecycle.

This is a fast-paced, high-volume role that requires strong multitasking skills, the ability to shift between tasks quickly, and real-time problem-solving. The successful candidate will work closely with the service manager, shop/ field technicians, parts and service personnel to manage the service requests while maintaining a high standard of customer service.

Key Responsibilities

Customer Communication

  • Respond promptly to customer inquiries by phone or email regarding service requests and scheduled service dates.
  • Create and manage service orders within the service management system to ensure timely response and visibility for internal teams.
  • Share relevant customer insights with internal teams to support future interactions and service improvements.
  • Communicate basic product information and troubleshooting support over the phone when appropriate.

Scheduling

  • Schedule and manage service orders and ensure regular updates are provided to customers.
  • Communicate with shop and field technicians throughout the day to monitor progress and adjust schedules as needed.
  • Prioritize and expedite urgent service requests when required.
  • Collaborate with coworkers to adjust shop capacity based on changing service demands.

Administration

  • Ensure service orders contain sufficient detail for technicians to complete service efficiently.
  • Review service history to determine warranty eligibility where applicable.
  • Maintain and close open work orders on a timely basis.
  • Prepare completed work orders for invoicing.
  • Organize and maintain documentation such as emails, photos, and service notes for easy reference.
  • Contribute to continuous improvement by capturing and sharing customer feedback and service insights.

Qualifications

Experience

  • Minimum 2 years of experience in a high-volume service coordinator/advisor/writer role.
  • Heavy Truck or equipment experience preferred
  • Automotive experience will be considered

  • Experience using Fullbay Maintenance is an asset

Pay: $24.00-$26.00 per hour
