Operations & Reservations Coordinator
Out Adventures is the world's leading LGBTQ+ small-group travel brand. Founded in 2008, we run tours, cruises, and safaris in over 30 countries, from hiking the Inca Trail in Peru to chartering yachts in Croatia to running cultural tours in Thailand and safaris in South Africa. We support the queer communities we visit, especially in less-than-gay-friendly countries, and we partner with Rainbow Railroad to help LGBTQ+ people in harm's way find safety. We prioritize purpose over profit and pride ourselves on being a customer-first organization.
This is a new role created to support our Operations team as we continue to grow. You'll be the guest's point of contact in the run-up to their trip, making sure every detail, from flights to final payment, is collected and confirmed on time. You'll also lend a hand to Reservations when needed and help keep our office running smoothly.
You're organized, detail-oriented, and comfortable juggling a high volume of moving pieces without losing track of any of them. You thrive in an entrepreneurial environment, work well independently, and operate confidently under pressure.
What you'll do
- Manage the post-booking, pre-travel process for every guest, including collecting flight details, pre/post travel requests, travel insurance, emergency contacts, and final payment.
- Coordinate additional guest services like hotels and transfers.
- Respond to guest questions about existing bookings.
- Support office administration, including host materials, supplies, and inventory.
- Help guests through technical issues as we roll out new booking and trip document technology.
- Step in as backup support for Reservations, including phone coverage and bookings, when needed.
- Some flexibility for occasional evening or weekend work during trade shows, consumer events, and busy periods.
What you bring
- At least a year of experience in an operations or reservations role, ideally in travel.
- Excellent written and spoken English.
- Strong geographical knowledge and first-hand travel experience.
- A customer-first mindset and sharp attention to detail.
- A genuine passion for LGBTQ+ travel.
- Comfort on the phone with clients, including handling payment.
- Solid working knowledge of Microsoft Office, Google Docs/Sheets, and AI tools.
Compensation & Benefits
- $55,000–$65,000 CAD, depending on experience.
- Vacation starts at two weeks, increasing with tenure.
- Comprehensive benefits after a six-month probation period.
- An annual familiarization trip to experience an Out Adventures product firsthand.
Hybrid role: three days a week in our central Toronto office, two from home.
