Position Summary

We are seeking an experienced, proactive, and highly resourceful Household Butler to provide high-level, comprehensive management of personal, household, and family logistics for our President. This role combines top-tier personal administration with traditional butler and valet hospitality to ensure the President’s personal life, properties, and daily routines operate seamlessly.

Working closely with the President, his spouse, the Executive Assistant, the executive driver, and household support staff, you will take total ownership of personal logistics, high-end hospitality, vendor management, and everyday problem-solving.

Key Responsibilities

Personal & Family Logistics

  • Manage and maintain the President’s personal and family calendar, coordinating closely with the Executive Assistant to prevent scheduling conflicts between business and personal commitments.
  • Provide proactive reminders, itineraries, and essential materials ahead of personal appointments, social engagements, and family activities.
  • Liaise regularly with the President and his spouse to establish daily and weekly priorities and ensure services are tailored to individual tastes, dietary requirements, and lifestyle preferences.
  • Systematically track, prioritize, and execute personal requests and outstanding action items.

Household Management, Staff & Vendor Oversight

  • Oversee full-scope household operations, maintenance, repairs, deliveries, and recurring vendor services (HVAC, pool care, landscaping, trade contractors, house cleaning).
  • Coordinate schedules, workflows, and supervision for on-site household staff and contractor teams.
  • Source, vet, and contract high-quality vendors; obtain competitive quotes, negotiate terms, and establish preventative seasonal maintenance schedules for all properties.
  • Serve as the primary point of contact for external technicians—ensuring access, inspecting quality of work, and briefing the President and spouse on key property decisions requiring capital approval.
  • Maintain a comprehensive, updated household operational manual, vendor directory, and inventory systems (pantry, household supplies).

Fine Dining, Hospitality & Event Services

  • Greet and serve guests with immaculate fine dining manners, table etiquette, and professional hospitality during private gatherings and everyday meals.
  • Coordinate and facilitate high-end restaurant reservations, family celebrations, private gatherings, and seasonal formal events.
  • Handle telephone inquiries, guest receptions, and overall concierge-level service within the home.

Personal Administration & Financial Oversight

  • Organize and track personal receipts, warranty documents, appliance records, and essential contact directories.
  • Oversee routine personal administration, including membership renewals, subscriptions, insurance forms, and vehicle documentation.
  • Reconcile personal expenses, track household budgets, organize documentation for review, and draft clear personal correspondence.
  • Maintain absolute discretion and strict confidentiality regarding all personal, financial, and family matters.

Errands, Shopping & Curated Procurement

  • Execute complex local errands, specialized purchasing, deliveries, and returns across the local region.
  • Source, procure, and custom-wrap personal, family, and holiday gifts.
  • Manage vehicle upkeep, including scheduling routine servicing, repairs, detailing, and daily readiness.
  • Evaluate luxury products or services upon request and present clear, curated options.

Personal Travel & Itinerary Planning

  • Plan and execute end-to-end travel itineraries for personal and family trips (flights, private ground transport, boutique accommodations, curated activities, and reservations).
  • Manage complete luggage packing and unpacking services, ensuring clothing and personal items are styled and arranged for immediate use upon arrival.
  • Ensure all passports, visas, health requirements, and travel documents are current and arranged well in advance.
  • Provide personal travel support linked to corporate trips in coordination with the Executive Assistant, accompanying the family on travel when required to maintain continuous, consistent service.

Qualifications & Requirements

  • Experience: 3+ years of proven experience as a Personal Assistant, Butler, House Manager, Family Office Coordinator, or High-Net-Worth Household Assistant.
  • Hospitality & Protocol Skills: Formal training or demonstrated expertise in butler service, fine dining etiquette, wine service, and professional wardrobe/valet management.
  • Organizational Mastery: Exceptional time-management, prioritization, and multi-tasking abilities with sharp attention to detail.
  • Proactive Problem Solver: Ability to anticipate needs, resolve unexpected issues independently, and handle last-minute requests calmly and efficiently.
  • Vendor & Staff Leadership: High confidence in vetting, negotiating with, and directing contractors, trade professionals, and domestic personnel.
  • Technical Proficiency: Fluent with Google Workspace (Calendar, Gmail, Docs, Sheets), mobile apps, travel booking engines, and personal organization tools.
  • Discretion & Professionalism: Uncompromising integrity, tact, and commitment to confidentiality regarding private family affairs.
  • Licensing & Mobility: Valid Ontario G driver’s licence, clean driving record, and a reliable vehicle. Willingness to travel with the family periodically if needed.

Pay: $70,000.00 per year
