About the Faculty of Health Sciences
McMaster University’s Faculty of Health Sciences (FHS) is unique as the only Canadian university that combines, in one Faculty, schools of medicine (including two regional campuses), nursing, rehabilitation science, and the programs of midwifery, bachelor of health sciences, physician assistant and postgraduate health sciences education.
The Faculty of Health Sciences Human Resources (FHS HR) Office, in collaboration with Human Resources Services, provides leadership, advice, support and resources to faculty and staff to foster the creation of an environment that is inclusive, diverse and engaging. Working with our partners within the Faculty and beyond, we are responsible for recruiting a large and diverse number of individuals locally, nationally and internationally. We support the over 2000 staff members as well as, 890 full-time and 2800 part-time faculty members who help the Faculty to accomplish its mission and vision. These are dispersed amongst the Schools and Departments in the Faculty of Health Sciences.

The Faculty of Health Sciences is launching the Health Sci HR Hub , a newly designed HR service model and pilot initiative focused on enhancing service delivery, streamlining transactional processes, and creating a more coordinated and responsive support experience for faculty leaders, managers, staff, and employees.
The Health Sci HR Hub , will serve as a single, integrated resource supporting key human resources services including job postings, employment offers, onboarding, and a broad range of HR transactional and administrative activities. This innovative model is intended to improve operational effectiveness, strengthen service consistency, and support continuous improvement across the Faculty.
As part of this exciting new initiative, we are seeking a collaborative, client-focused HR professional to join the Hub in a foundational role that will contribute to shaping and supporting this evolving service model.
Position Summary
The Faculty HR Coordinator is a key contributor to the newly established Health Sci HR Hub , supporting the delivery of streamlined human resources services and transactional excellence across the Faculty of Health Sciences. Working within a collaborative HR partnership model, the role provides support in recruitment administration, employment transactions, onboarding, records administration, employee service support, and process coordination.
This role contributes to the success of a new service delivery model by ensuring timely and accurate HR administration, supporting continuous improvement initiatives, and delivering responsive, high-quality service to clients across the Faculty.
Key Accountabilities
HR Administration and Transactional Support
- Coordinate and process a variety of HR transactions including hires, extensions, salary changes, leaves, and employment changes, ensuring accuracy, compliance, and timely service delivery.
- Support the administration of job postings, position set up, recruitment documentation, offer preparation, and onboarding processes.
- Maintain employee records, electronic files, and HR documentation in accordance with confidentiality and records management requirements.
- Provide support to managers and employees regarding HR forms, processes, system access, and routine employment-related inquiries.
- Assist with administration related to attendance, premium payments, time entry processes, and other transactional activities.
- Support the effective coordination and delivery of faculty HR transactional services through the Health Sci HR Hub.
Recruitment and Onboarding Support
- Support full-cycle recruitment administration for a variety of employee groups, including posting coordination, interview scheduling, documentation preparation, and onboarding activities.
- Assist in preparing employment documentation and offer materials in collaboration with HR Operations and faculty partners.
- Support onboarding and orientation activities that contribute to a positive employee experience.
- Provide administrative support related to equitable and inclusive recruitment practices.
Client Service and HR Support
- Serve as a first point of contact for routine HR inquiries, providing responsive client service and guidance on established policies, procedures, and practices.
- Support managers and employees by connecting them with appropriate resources and escalating matters as required.
- Build effective working relationships with faculty clients, HR colleagues, and central service partners.
Process Improvement and Program Support
- Contribute to process improvements and the development of effective practices that support the success of the Health Sci HR Hub, service model.
- Participate in pilot implementation activities, feedback mechanisms, and continuous improvement initiatives.
- Support HR projects, reporting needs, and operational initiatives as assigned.
- Assist with updates to HR resources, tools, and faculty communications platforms.
Health, Safety and Compliance Support
- Support administrative coordination related to training compliance, documentation, accommodation processes, and related health and safety activities.
- Maintain awareness of applicable policies, collective agreement considerations, and employment-related procedures.
Qualifications
Education
- Degree or diploma in Human Resources, Industrial Relations, Business Administration, or a related field.
- CHRP designation, or progress toward designation, is considered an asset.
Experience
- Minimum three years of progressive human resources administrative or generalist experience, preferably in a large, complex and/or unionized environment.
- Experience supporting recruitment administration, HR transactions, and client service delivery.
- Experience working in a shared service, academic, healthcare, or multi-stakeholder environment is considered an asset.
- Experience working within a unionized environment is considered an asset,
Knowledge, Skills and Abilities
- Strong client service orientation with excellent interpersonal and relationship-building skills.
- Demonstrated organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Sound judgment, discretion, and attention to detail.
- Strong communication and problem-solving skills.
- Commitment to collaboration, service excellence, and continuous improvement.
- Proficiency with Microsoft Office; experience with PeopleSoft/Mosaic is an asset.
- Knowledge of HR practices, employment legislation, and collective agreement environments is an asset.

The posted hiring range represents McMaster's typical hiring range for this position. Actual starting salary will depend on factors such as relevant experience, qualifications, internal equity, and market conditions.
Individuals with extensive experience, deep specialized expertise, and/or those who can demonstrate exceptional past performance, as applicable, may be hired at a higher rate within the full range, in accordance with the University compensation policies.
