Accounting Assistant / Project Admin

Randall Plumbing & Heating has a position available immediately for an Accounting Assistant/Project Admin. This is a full-time term position.

Responsibilities and Duties:

Process Field Payroll

  • Following requirements set out in the Union agreements (Plumbers/Steamfitters, Refrigeration, Plumbing Service)
  • Issuing of Record of Employment as needed
  • Calculation of Union Remittances (Dues, Market Enabling, Health & Welfare, etc.)

Job Costing/Service

  • Assist with costing/pricing Service W/O’s
  • Issue PO’s for Construction and Service
  • Subcontracts – Issue and Track
  • Assist with Monthly Progress Billing
  • Enter Job Estimates into Jonas
  • Process Change Orders – Issue to Subcontractors and Track
  • Enter Quoted Job Invoices
  • Yearly Subcontractor Qualifications
  • Maintain Vehicle Logs
  • Coverage for Service Dispatch during Breaks and Holidays

Accounts Payable

  • Responsible for printing and saving of invoices sent to the Accounts Payable general mailbox
  • Matching of supporting documents (packing slips, receipts, purchase orders, subcontracts)
  • Coding of invoices for Management approvals (JOB, W/O, G/L)
  • Filing/Sorting copies (paper and digital) in job files and other required file systems
  • Entry of payables invoices to accounting software
  • Reconciling supplier statements
  • Processing regular cheque runs and subcontractor payments

Accounts Receivable

  • Process Direct Deposit and Credit Card Payments
  • Process Cheque Deposit
  • Follow up with Customers Regarding Past Due Invoices

Other various office duties as required, such as reception backup, filling, mailing cheques, etc.

Qualifications:

  • Have relevant accounting training and/or experience
  • Be familiar with Microsoft Word, Excel, and Outlook
  • Ability to work independently and as part of an office team
  • Have excellent written and oral skills
  • Accuracy and attention to detail is essential
