Job Overview

We are seeking a reliable, tech-savvy, and detail-oriented Administrative Assistant & Bookkeeper to support daily office operations. This role combines administrative responsibilities, bookkeeping, and customer service. The ideal candidate is organized, proactive, and comfortable using modern tools—including AI—to improve efficiency and workflow.

Key Responsibilities

Administrative Duties

  • Answer and manage incoming phone calls professionally
  • Respond to general email inquiries and client communications
  • Organize and maintain physical and digital records
  • Assist with scheduling, filing, and office coordination
  • Handle walk-in customers and provide front-desk support

Bookkeeping & Financial Tasks

  • Create and send invoices to clients
  • Record payments and maintain accurate financial records
  • Process transactions (cash, debit, e-transfer, etc.)
  • Assist with bookkeeping entries and expense tracking
  • Coordinate with management or accountant as needed

Operations & Order Management

  • Prepare and organize customer orders
  • Coordinate with team members for order fulfillment
  • Ensure accuracy in product lists, quantities, and documentation

Qualifications

  • Previous experience in administrative and/or bookkeeping roles preferred
  • Basic knowledge of accounting software (QuickBooks or similar)
  • Strong communication and customer service skills
  • Highly organized with strong attention to detail
  • Ability to multitask and work independently

Technical & AI Skills (Important)

  • Proficient in Microsoft Office / Google Workspace, Microsoft Excel
  • Comfortable using AI tools (e.g., ChatGPT or similar) to improve productivity, communication, and workflow efficiency
  • Ability to adapt to new digital tools and automation systems
