The OCRAM Group is a Montreal-based private investment company with operations and investments across multiple industries, including real estate, financial markets, education, hospitality, fintech, and venture capital.

We are looking for a highly organized, proactive, and dependable Office Manager / Administrative & Operations Coordinator to support the day-to-day operations of our companies. This is a hands-on role for someone who enjoys managing multiple projects, solving problems, and ensuring everything behind the scenes runs smoothly.

This position will primarily support our Montreal headquarters while also assisting with the administration of our Miami operations remotely.

Key Responsibilities

Responsibilities include, but are not limited to:

  • Oversee the day-to-day administrative operations of our various companies.
  • Manage accounts payable and accounts receivable.
  • Prepare payroll information and coordinate with external accountants and payroll providers.
  • Work closely with our accountants, bookkeepers, lawyers, banks, and other professional advisors to ensure timely government filings, corporate compliance, legal documentation, and regulatory requirements.
  • Coordinate contracts, renewals, insurance policies, permits, and other corporate documentation.
  • Assist with Human Resources administration, including onboarding, employee records, and coordination with contractors and consultants.
  • Coordinate office operations and ensure efficient administrative processes.
  • Support the CEO with administrative tasks, reporting, scheduling, correspondence, and special projects.
  • Coordinate renovations, office moves, construction projects, and other operational initiatives from planning through completion.
  • Assist with property management administration across our real estate portfolio.
  • Help coordinate both Montreal and Miami business operations from our Montreal office.
  • Liaise with suppliers, service providers, contractors, tenants, and government agencies.
  • Maintain organized corporate records and filing systems.
  • Coordinate travel arrangements, meetings, events, and executive logistics.
  • Provide administrative support across all business divisions as required.
  • Perform other duties and special projects as assigned.

Qualifications

The ideal candidate will have:

  • Minimum 5 years of experience in office administration, operations, executive assistance, project coordination, or a similar role.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to manage multiple priorities independently with minimal supervision.
  • Excellent written and verbal communication skills in both English and French.
  • Experience coordinating with accountants, lawyers, government agencies, and other professional advisors.
  • Experience with accounts payable, accounts receivable, contracts, and general office administration.
  • Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience managing projects, renovations, office operations, or multiple business activities is considered a strong asset.
  • Basic accounting or bookkeeping knowledge is an asset, but this is not a bookkeeping position.
  • Experience supervising employees or coordinating contractors is an asset.
