We are currently recruiting Administrative Assistants to support our clients across the Tri-Cities region, including Coquitlam, Port Coquitlam, and Port Moody. Successful candidates will join our casual/contract administrative pool, providing short-term coverage and support as needed.

Requirements:

  • Minimum 3 years of administrative assistant experience using a multi-line switchboard
  • Previous experience in an administrative or receptionist role is considered an asset
  • Intermediate proficiency in Microsoft Outlook, Word, and Excel
  • Strong and accurate typing skills
  • eSkills assessment required (evaluates MS Word, Excel, Outlook proficiency, and typing speed - average is 45 WPM)
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Willingness to learn and contribute as part of a team
  • Flexible availability, including the ability to work on short notice and adapt to different workplace

Key Responsibilities:

  • Answer and direct incoming phone calls in a professional manner
  • Greet and assist visitors, ensuring a welcoming front office environment
  • Receive, sort, and distribute incoming mail and courier deliveries
  • Perform data entry, filing, and document preparation
  • Maintain and update records, logs, and databases
  • Schedule meetings and manage calendars
  • Assist with preparing reports and correspondence
  • Order and organize office supplies as required
  • Provide basic troubleshooting support for office equipment (e.g., printers, copiers)
  • Assist with meeting or event setup, including room arrangements and materials
