The posting

We’re a specialist eye clinic looking for an experienced Patient Services Representative, part-time, with room to grow into a full-time position.

Vitreous Retina Macula Specialists of Toronto treats serious retinal disease — macular degeneration, diabetic eye disease and retinal detachment — alongside cataract surgery and general eye care. We also run clinical trials. We’re at Bloor Islington Place, directly above Islington station.

This is not a general reception job, and we’re not looking to fill a seat. We’re a small team, which means the person in this role is trusted quickly and needs to be able to run the front of the clinic on their own when required. If you can do that, the rate reflects it.

The role is part-time to begin with, three days a week. As the clinic grows we expect it to become full-time, and we would want the person in it to be the one who takes it on.

What you’ll do

• Receive and process incoming referrals, judge how urgently each patient needs to be seen, and book accordingly
• Greet and check in patients, answer calls, and explain clearly what happens at each stage of their care
• Document accurately in our electronic medical record
• Obtain test results and consult reports from outside clinics and ensure a physician reviews them
• Build and audit the clinic schedule across all our physicians
• Handle escalated patient concerns calmly, and know when to involve the manager or a physician
• Manage supplies and orders, process returns, and keep the front of the clinic running smoothly
• Cover the desk independently when colleagues are away

What we’re looking for

• Two or more years in a medical office. — A specialist or ophthalmology clinic is a real advantage, but we’ll look seriously at any strong medical administrative background
• Someone who works well without close supervision and makes sensible decisions on their own
• Confident with an EMR, or a quick learner with strong computer skills
• Fast, accurate typing
• Clear, warm communication on the phone and in person
• Calm under pressure, particularly with anxious or distressed patients
• Discretion with confidential health information
• A genuine interest in patient care. Many of our patients are older, anxious and losing their sight

• $21.00–$25.00 an hour — set by experience and reviewed annually

• We pay for training. — We’ve funded additional certification for team members, including ophthalmic assistant training, and will consider sponsoring COA certification for the right person
