Medical Office Assistant (MOA)

Medical Clinic – Milton, Ontario
Job Type: Full-Time / Part-Time

About Us

We are a growing family medicine and walk-in clinic in Milton, Ontario. We are looking for an experienced, reliable, professional, friendly, and highly organized Medical Office Assistant (MOA) to join our team.

The ideal candidate will have previous experience working in a Canadian family medicine, walk-in, or primary care clinic and will be comfortable working independently and as part of a team in a busy, fast-paced medical environment.

Key Responsibilities

  • Greet patients professionally and provide excellent customer service
  • Manage front-desk operations and maintain efficient patient flow
  • Answer and appropriately direct incoming telephone calls and patient inquiries
  • Schedule, confirm, reschedule, and manage patient appointments
  • Register new patients and maintain accurate patient demographics
  • Manage incoming and outgoing referrals and follow up as required
  • Process incoming and outgoing faxes, specialist reports, laboratory results, and other clinical correspondence
  • Scan, upload, and appropriately categorize documents in the EMR
  • Assist physicians with day-to-day administrative and clinical workflow
  • Manage prescription renewal requests and patient messages according to clinic protocols
  • Coordinate communication with pharmacies, specialists, hospitals, laboratories, and other healthcare providers
  • Maintain accurate and confidential patient records
  • Follow Ontario privacy and confidentiality requirements
  • Assist with general office organization and administrative duties
  • Perform other clinic-related duties as required

Qualifications & Experience

  • Minimum 1–2 years of experience working in a Canadian medical clinic or healthcare office preferred
  • Medical Office Assistant (MOA), Medical Administration, or related diploma/certificate from a recognized Canadian institution preferred
  • Previous experience in a family medicine or walk-in clinic is a strong asset
  • Experience with OSCAR/OSCAR Pro EMR is strongly preferred
  • Familiarity with Ontario healthcare processes, including OHIP, referrals, laboratory reports, specialist correspondence, and medical documentation
  • Strong computer, typing, and general administrative skills
  • Excellent verbal and written English communication skills
  • Strong organizational and multitasking abilities
  • Excellent attention to detail and accuracy
  • Ability to prioritize multiple responsibilities in a busy clinic
  • Professional, respectful, and compassionate approach when interacting with patients
  • Dependable, punctual, and responsible
  • Ability to work effectively both independently and as part of a healthcare team
  • Willingness to learn and adapt as the clinic grows
  • Availability for evening and/or weekend shifts may be required

Ideal Candidate

We are particularly interested in an MOA who is proactive, efficient, and takes ownership of their responsibilities. The successful candidate should be comfortable anticipating clinic needs, following up on outstanding tasks, communicating effectively with patients and healthcare professionals, and contributing to a positive and organized work environment.

Experience working in a busy Canadian family practice or walk-in clinic and proficiency with OSCAR Pro will be considered strong assets.
