Job Summary

We are seeking a dedicated, detail-oriented, and compassionate Medical Office Assistant (MOA) to join our dynamic healthcare team. The ideal candidate will have 1–2 years of experience in a clinical or medical office setting and will play a vital role in ensuring a positive patient experience and smooth daily operations of the clinic. This position involves a combination of administrative, clerical, and limited clinical duties in a fast-paced, team-oriented environment.

Key Responsibilities

  • Greet and check in patients in a professional and welcoming manner.
  • Schedule, confirm, and manage appointments using EMR systems (Med Access preferred).
  • Answer phone calls, emails, and patient inquiries promptly and courteously.
  • Register new patients and update demographic and insurance information.
  • Prepare, organize, and maintain accurate patient charts and electronic medical records.
  • Handle billing, invoicing, and insurance claim submissions.
  • Assist physicians and nursing staff with patient flow and coordination.
  • Record patient vitals, prepare examination rooms, and ensure cleanliness and readiness for procedures.
  • Sterilize and restock medical instruments and supplies as required.
  • Maintain strict confidentiality in accordance with PHIPA and PIPEDA regulations.
  • Manage incoming/outgoing mail, faxes, and other correspondence.
  • Monitor and order office and clinical supplies to ensure availability.
  • Support patient recalls, referrals, and follow-up appointments.
  • Contribute to the continuous improvement of clinic operations and patient satisfaction.

Qualifications

  • Education: Completion of a recognized Medical Office Assistant (MOA) program or equivalent training.
  • Experience: Minimum 1–2 years of experience in a medical office, walk-in clinic, or healthcare setting.
  • Technical Skills:
  • Proficiency in Med Access EMR software is required.
  • Competency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge:
  • Understanding of medical terminology and clinical workflows.
  • Familiarity with healthcare regulations, privacy laws, and patient confidentiality requirements.
  • Personal Attributes:
  • Excellent communication, interpersonal, and organizational skills.
  • Strong attention to detail and ability to multitask effectively.
  • Professional, empathetic, and patient-centered attitude.
  • Ability to work independently and as part of a collaborative healthcare team.

Work Schedule

  • Monday to Friday
  • Every weekend (as scheduled)

Work Environment

  • Fast-paced clinical setting with direct interaction with patients, physicians, and staff.
  • In-person role — candidates must be able to reliably commute.
