Job Overview

We are seeking a highly organized and detail-oriented Physiotherapy and Wellness Administrator to join our healthcare team. This role is vital in ensuring the smooth operation of our physiotherapy practice by managing administrative tasks, coordinating patient appointments, and maintaining accurate medical records. The ideal candidate will possess strong office experience, familiarity with electronic medical records, and excellent communication skills to support both staff and patients effectively. This position offers an opportunity to contribute to patient care in a dynamic healthcare environment. Must be available for day and evening shifts as well as the occasional weekend as needed.

Duties

  • Manage patient scheduling and coordinate appointments efficiently using electronic medical records systems.
  • Greet patients upon arrival, verify insurance information, and update patient records accurately.
  • Handle multi-line phone systems to answer inquiries, schedule follow-ups, and relay messages promptly.
  • Maintain and organize medical documentation, including treatment notes and billing information, ensuring compliance with privacy regulations.
  • Assist with administrative tasks such as billing, coding, and insurance claims processing including managing MVA files.
  • Support the front desk operations by managing patient check-in/check-out processes and maintaining a welcoming environment.
  • Collaborate with physiotherapists and other healthcare professionals to facilitate smooth daily operations.
  • Ensure the office remains organized, stocked with necessary supplies, and adheres to safety protocols.

Requirements

  • Proven experience in a medical office setting, preferably within physiotherapy or related healthcare fields.
  • Familiarity with electronic medical records systems.
  • Knowledge of medical terminology relevant to physiotherapy and general healthcare practices.
  • Prior experience working with Cleardent, GoRondevouz or other dental/medical practice management software is a plus.
  • Strong office experience including front desk responsibilities, multi-line phone systems, and administrative support.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Exceptional communication skills for interacting professionally with patients, staff, and insurance providers.
  • Ability to handle sensitive information discreetly while maintaining confidentiality standards.

This role is essential in providing exceptional administrative support within our physiotherapy and wellness practice, ensuring a positive experience for patients and seamless clinic operations.

Pay: $22.00-$30.00 per hour
