Job Summary

Gladhouse Medical Woodbridge Clinic is a busy family practice dedicated to providing high-quality, patient-centred healthcare to the Woodbridge community. We are seeking a professional, organized, and compassionate Medical Office Administrator to join our team and serve as the first point of contact for our patients. The ideal candidate will manage front desk operations, coordinate patient scheduling, and ensure smooth administrative workflows within a busy medical practice. This role requires strong communication skills, proficiency with electronic medical records, and familiarity with office management systems. The Medical Office Administrator will serve as the first point of contact for patients and support the clinical staff by maintaining accurate records and facilitating efficient office operations.

Responsibilities

  • Greet patients and visitors professionally, providing excellent customer service at all times
  • Manage multi-line phone systems, scheduling appointments, and confirming patient visits
  • Maintain and update electronic medical records (EMR) using platforms (Avaros)
  • Handle check-in and check-out procedures, including collecting information and payments
  • Assist with billing, coding, and documentation to ensure compliance with healthcare regulations
  • Coordinate communication between patients, providers, and staff to facilitate seamless workflow
  • Manage administrative tasks such as filing, data entry, and correspondence
  • Ensure the front desk area is organized, clean, and welcoming for patients and visitors
  • Support clinical staff with administrative duties as needed, including preparing charts and documentation
  • Maintain patient confidentiality at all times
  • Support clinical staff with medical duties as needed, including preparing rooms and equipment for medical procedures (e.g. Pap smears, vaccinations etc)

Skills

  • Proficiency with Electronic Medical Records (EMR) systems such as Avaros EMR.
  • Strong knowledge of medical terminology relevant to healthcare documentation
  • Previous experience as a Medical Receptionist or in a Medical Office environment is highly desirable
  • Experience working in a Medical Office with familiarity in front desk operations
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong communication skills for handling multi-line phone systems and patient interactions
  • Administrative experience in office management or healthcare settings is preferred
  • Ability to work independently while maintaining attention to detail and professionalism
  • Experience in family medicine
  • Knowledge of OHIP billing procedures
  • Familiarity with referral management processes
  • Experience handling high-volume patient interactions
  • Strong conflict-resolution and customer-service skills
