Administration Assistant

Mount Polley Mining Corporation (MPMC) is currently recruiting for an Administration Assistant for immediate employment. The work schedule will be four (4) 10- hour shifts of work, Monday-Thursday followed by three (3) days of rest. However, the incumbent must be flexible to work any shift structures assigned, weekends, over time and off shift work.

Job Description

Reporting to the Mine Operations Superintendent, the incumbent will be responsible to:

  • Provide professional administrative support to the Mine Operations through proactive development and preparation of correspondence, presentations, and reports.
  • Assist with the daily calendars through effective scheduling and rearranging of meetings and appointments.
  • Coordinate, prioritize, and track the flow of distribution of mail, telephone, and electronic information.
  • Review and respond to routine email and correspondence, on behalf of the Mine Operations Superintendent.
  • Respond to telephone, e-mail, and in-person inquiries. Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
  • Manage and maintain the mill departments Organizational Charts.
  • Create and maintain hard copy and electronic file systems.
  • Interpret and present large amounts of data in user friendly manner such as graphs and charts.
  • Organize, maintain, and coordinate Mine records and files in their proper locations.
  • Type forms, letters, reports, and memos, as necessary.
  • Taking inventory, stocking, and ordering appropriate supplies.
  • Perform mail associated duties.
  • Other Ad Hoc duties as required by the company.

Minimum Qualifications & Preferences

  • High school diploma complemented with post-secondary education. A diploma in Office or Business Administration would be considered an asset.
  • Demonstrated ability to perform maturely and professionally ensuring complete confidentiality of sensitive and confidential information.
  • Demonstrated ability to manage and perform effectively under conditions of high workload.
  • Superior understanding and ability to use Microsoft Office applications - Word, Excel, PowerPoint,Teams, Outlook, and Adobe Acrobat - including the ability to develop reports from concepts provided.
  • Outstanding interpersonal and communication skills and ability to work effectively with a wide array of personalities.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
