Medical Office Assistant (MOA) / Clinical AssistantOverview

We are seeking a reliable, organized, and professional Medical Office Assistant (MOA) / Clinical Assistant to join our growing family medicine practice. The successful candidate will provide administrative and clinical support to physicians and patients while helping ensure efficient daily operations and an exceptional patient experience.

This position is ideal for experienced Medical Office Assistants, healthcare professionals, and International Medical Graduate (IMG) physicians seeking Canadian healthcare experience. Applicants should possess excellent communication skills, strong attention to detail, and the ability to thrive in a fast-paced clinical environment. Experience with PS Suite EMR and multi-line phone systems is highly preferred.

International Medical Graduate (IMG) physicians are encouraged to apply. This role provides valuable exposure to the Canadian healthcare system, family medicine workflows, and electronic medical records while pursuing medical licensure in Canada. Please note that this is not a physician position, and all duties will be performed within the scope of the role.

Responsibilities

  • Welcome patients and visitors in a courteous and professional manner.
  • Schedule appointments and manage patient flow using PS Suite EMR.
  • Verify and update patient demographics, health card, and insurance information.
  • Answer and manage a multi-line phone system professionally, directing calls and taking accurate messages.
  • Assist with patient check-in and check-out, including collecting payments and providing forms.
  • Maintain accurate, organized, and confidential patient records in accordance with privacy legislation.
  • Prepare charts and support physicians with documentation and administrative tasks.
  • Assist with delegated clinical tasks and office procedures within the scope of the position.
  • Manage office correspondence, including email, fax, referrals, and incoming medical reports.
  • Coordinate referrals, diagnostic imaging, laboratory requisitions, and specialist consultations.
  • Maintain inventory of medical and office supplies.
  • Help maintain a clean, organized, and professional clinical environment.
  • Participate in quality improvement initiatives and support efficient office workflows.

Qualifications & Skills

  • Medical Office Administration certificate or equivalent healthcare experience preferred.
  • Proficiency with Electronic Medical Records (EMR), particularly PS Suite, is an asset.
  • Strong knowledge of medical terminology and healthcare documentation.
  • Excellent organizational, time management, and multitasking skills.
  • Strong verbal and written communication skills.
  • Experience with multi-line telephone systems.
  • Excellent customer service skills and a compassionate approach to patient care.
  • High attention to detail with accurate scheduling, billing support, and record management.
  • Ability to work independently and collaboratively in a busy family medicine practice.
  • Knowledge of OHIP billing and Ontario primary care workflows is an asset.
  • International Medical Graduate (IMG) physicians with excellent communication skills and an interest in gaining Canadian healthcare experience are encouraged to apply.
