The Opportunity

We are seeking a seasoned Lead Medical Care Coordinator and Patient Concierge to serve as the operational cornerstone of our clinic. This is a senior, trust-based role for someone who brings deep medical administrative expertise, impeccable judgment, and genuine passion for delivering an outstanding patient experience.

You will work closely with and report to the Medical Director and Clinic Director, serving as a key liaison across patient care, operations, and executive support. This is a high-visibility, high-impact position for a professional who takes pride in ownership, loyalty, and excellence.

Key Responsibilities

Patient Care Coordination & Concierge Experience

  • Own the patient journey from first contact through follow-up, delivering a consistently 5-star experience
  • Guide and navigate patients through private health options, integrative healthcare systems, liaison with third parties, referrals and other healthcare providers
  • Coordinate referrals, clinical testing, follow up care
  • Manage patient relationships, care coordination, scheduling, and communications with warmth and professionalism
  • Proactively manage patients experience through their health programs working closely with clinical care team
  • Handle sensitive inquiries and patient concerns with discretion, urgency, and empathy

Program Navigation and Patient Engagement

  • Facilitate the process of new health patient consultations
  • Educate on available programs and health solutions
  • Ensure patients are engaged with their care plans and achieve optimal outcomes
  • Support patient renewal process, continuity of care and high patient satisifaction with care

Medical Administration & Clinical Operations

  • Oversee check-in/check-out, patient flow, referrals, Rx management, lab liaison, and results tracking
  • Manage patient portals and test result processing with timely processing of all lab results and triaging for appropriate medical review based on urgency and clinical profile.
  • Manage OHIP billing, invoicing, payment processing, day-end reconciliation, and financial administration
  • Maintain compliance with privacy, confidentiality, and clinical documentation standards
  • Ensure smooth daily clinic operations and patient flow

Clinic & Office Management

  • Maintain clinic standards for cleanliness, supply management, inventory control, and workflow efficiency
  • Implement and uphold best practices across front-desk and care coordination operations
  • Work closely with Clinic Director to ensure operational standards of clinical flow and office management including scheduling, workflow, and inventory.

Leadership & Operational Support

  • Provide leadership administration across the business working closeling with leadership; Clinic Director and Medical Director
  • Assist with strategic initiatives including events, human resource, and growth strategies
  • Contribute to staff scheduling, team engagement, and a strong high-performance clinic culture

Business Development & Brand Ambassadorship

  • Support lead management, consultative patient sales, and retention strategies
  • Drive skincare and supplement retail recommendations; ensure all patients are booked for follow-ups
  • Serve as a PearlMD brand ambassador and support patient education, sales and marketing initiatives, outreach, and community events

Required Experience

  • 5+ years of medical administrative, care coordination, patient navigation, and/or clinic operations experience
  • Experience in private healthcare, specialty medicine, concierge medicine, executive health, and wellness strongly preferred
  • Strong digital proficiency with EMR systems, medical documentation, scheduling systems, and digital business tools including CRM, VOIP, etc.
  • Exceptional communication, organizational, relationship-building skills and demonstrated ability to deliver five star patient/client experience
