Job Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role involves providing essential clerical and administrative support across various departments, ensuring smooth daily operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with office management tools. Prior experience in sales or marketing, children's education, or customer service is a plus. This position offers an opportunity to contribute to a professional environment where organizational skills and attention to detail are highly valued.

Responsibilities

  • Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry tasks accurately using Microsoft Office, CRM, Mystudio, Google Workspace, and QuickBooks
  • Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
  • Assist with appointment scheduling, calendar management, and reminders for staff or clients
  • Support bookkeeping activities such as invoicing, billing, and record keeping in QuickBooks or similar software
  • Provide exceptional client support via phone, email, or in person, demonstrating excellent phone etiquette and customer service skills
  • Proofread documents for accuracy and clarity before distribution
  • Handle administrative tasks such as photocopying, faxing, mailing, and managing office supplies
  • Support school functions if applicable, including student check-in/out processes

Requirements

  • Proven experience in an administrative role with proficiency in Microsoft Office (Word, Excel), CRM, Hubspot, Lineleader, Mystudio Google Workspace, and data entry tasks
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Strong organizational skills with the ability to manage multiple tasks efficiently
  • Excellent communication skills both verbally and in writing; professional phone etiquette required
  • Experience working in a front desk setting or multi-line phone systems preferred
  • School administration experience is a plus but not mandatory
  • Ability to handle confidential information discreetly and maintain a high level of professionalism
  • Strong typing skills with attention to detail for proofreading documents accurately
  • Basic computer skills necessary for navigating various office management tools and software
