Executive Assistant

Location: North Huron, ON
Employment Type: Full-Time, Permanent
Work Arrangement: Onsite, Monday to Friday
Hours: 8:00 a.m. – 5:00 p.m.
Salary: $75,000 - $85,000 based on experience + bonus + benefits + RSP

About the Role

We are seeking an experienced Executive Assistant to provide high-level administrative, organizational and business support to the President and Executive Leadership Team.

The role will primarily support the President and Director/VP of Operations while also providing support to the Executive Leadership Team.

The ideal candidate is highly organized and comfortable working directly with senior executives. They will be proactive, technologically strong and able to manage competing priorities with discretion and sound judgment.

Key Responsibilities

Executive & Leadership Support

  • Provide senior-level administrative and business support to the President and Executive Leadership Team.
  • Manage executive calendars, meetings, appointments and competing priorities.
  • Anticipate upcoming requirements, deadlines and commitments and ensure executives are appropriately prepared.
  • Coordinate executive travel, accommodations, itineraries and related arrangements.
  • Draft, review and prepare professional correspondence and communications on behalf of senior leaders.
  • Maintain confidential executive records, correspondence, meeting materials and documentation.
  • Attend executive and leadership meetings as required.
  • Prepare agendas, presentations, meeting materials and supporting documentation.
  • Follow up with executives, department leaders and employees to ensure commitments and deadlines are completed.

Business Coordination & Special Projects

  • Coordinate special projects on behalf of the President and Executive Leadership Team.
  • Conduct research and compile information to support executive decision-making.
  • Prepare reports, spreadsheets, presentations and other executive-level business materials.
  • Coordinate projects involving multiple departments and track timelines, deliverables and outstanding items.
  • Coordinate company events, conferences, meetings and leadership initiatives.
  • Work collaboratively with reception and administrative staff to ensure consistent front-office coverage.

Qualifications

  • 7+ years of progressive administrative, executive support or business coordination experience preferred.
  • Ideally 3+ years supporting Presidents, executives, senior leaders or C-Suite professionals.
  • Demonstrated experience handling confidential and sensitive business information.
  • Experience coordinating complex meetings, projects, executive priorities, travel and events.
  • Proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
