Office Manager

Location: Dartmouth, Nova Scotia

Position Summary

Dependable Truck and Tank Limited is seeking an organized, proactive, and detail-oriented Office Manager to oversee the day-to-day administrative operations of our Dartmouth office. This position plays a critical role in ensuring the smooth operation of the business by managing office administration, supporting senior leadership, coordinating internal processes, and providing leadership to administrative staff.

The ideal candidate is a strong communicator, highly organized, capable of managing multiple priorities, and committed to delivering exceptional internal and external customer service while supporting the continued growth of the company.

Key ResponsibilitiesOffice Administration

  • Manage the daily operations of the office to ensure an efficient and professional work environment.
  • Develop, implement, and maintain office procedures and administrative systems.
  • Coordinate office supplies, equipment, furniture, and facility maintenance.
  • Manage relationships with vendors, service providers, and contractors.
  • Oversee incoming mail, courier services, and general office communications.

Administrative Leadership

  • Supervise and support reception and administrative personnel.
  • Provide training, coaching, and performance feedback to office staff.
  • Assist department managers with administrative support as required.
  • Promote a positive, team-oriented workplace culture.

Financial Administration

  • Assist with accounts payable and accounts receivable processes.
  • Review invoices, purchase orders, and expense reports for accuracy.
  • Coordinate office purchasing and monitor administrative budgets.
  • Assist with month-end administrative requirements.
  • Support accounting by ensuring documentation is complete and organized.

Human Resources Support

  • Assist with employee onboarding and orientation.
  • Maintain confidential employee records.
  • Coordinate training schedules and employee documentation.
  • Support recruitment activities by scheduling interviews and preparing hiring documentation.
  • Assist management with policy implementation and employee communications.

Executive Support

  • Provide administrative support to senior management.
  • Coordinate meetings, travel arrangements, and company events.
  • Prepare reports, presentations, meeting minutes, and correspondence.
  • Maintain confidential business information.

Process Improvement

  • Identify opportunities to improve office efficiency and workflow.
  • Develop standardized administrative procedures.
  • Support implementation of new software, technology, and office systems.
  • Assist with special projects across various departments.

Customer Service

  • Maintain a professional first impression for customers, suppliers, and visitors.
  • Respond to inquiries promptly and professionally.
  • Support internal and external communication across multiple departments.

Qualifications

  • Diploma or degree in Business Administration, Office Administration, or a related field is preferred.
  • Minimum of 5 years of office management or senior administrative experience.
  • Experience supervising office or administrative staff.
  • Experience with accounting software and Microsoft Office Suite.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High level of professionalism and confidentiality.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

  • Experience in the transportation, manufacturing, or service industry.
  • Knowledge of bookkeeping and administrative accounting functions.
  • Experience supporting Human Resources processes.
  • Experience with ERP or business management software.
  • Health and Safety administration experience is considered an asset.
