Full job description

About us

For nearly a decade, Enzo Design Build has designed and built some of Vancouver's most ambitious residential renovations. The office behind those projects has to run as cleanly as the builds do, and we're hiring the person who keeps it that way.

This is a wide seat. You'll sit between the office, the trades and the books.

What you'll own

The projects

  • Collect and chase quotes from trades and suppliers, and keep them compared side by side.
  • Keep JobTread current — jobs, to-dos, documents, nothing stale.
  • Make sure the crew files daily logs, clocks their time, and books it to the right line item. Our job costing is only as good as what gets entered.
  • Follow up on orders, handle returns with suppliers, and write delivery instructions so nothing lands at a locked gate.

The office

  • The calendar — client meetings, site visits, trades, inspections.
  • First voice on the phone and first face at the door.
  • Job files, permits, warranties, contracts. Nothing lost, nothing late.

The numbers

  • Raise client invoices, and attach and code supplier invoices to the right job in QuickBooks Online. You're not running the books — we have a bookkeeper who reviews, and tools that help.
  • Flag what's over quote before it becomes a surprise.

On the project side you're the legwork, not the decision-maker. Our project manager decides which trade does what; you chase the quotes, send the follow-ups, and make sure things actually arrive.

What you bring

  • Construction, renovation or trades experience — required. You've worked in a builder's, renovator's, or trade contractor's office within the last few years. You can read a scope of work, talk to trades without a translator, and know what a change order is. We are not able to train this.
  • 2+ years in project coordination, office coordination, or construction admin.
  • Comfortable in QuickBooks Online — attaching and coding invoices, raising invoices. Full-charge bookkeeping is not required.
  • AI fluency — required. We use AI across the business and we are going further, not less. You already use AI tools daily, or you're ready to learn fast (Claude at minimum). Tell us how you use it.
  • Clear written English. Client emails go out over our name.
  • Organized by system, not by memory. You can describe how you keep track.
  • Fluent in Google Workspace or Microsoft Office.
  • Legally able to work in Canada, and able to be in our West Vancouver office full-time.

A note on fit: this is a coordinator role. If you currently run finance or operations for a company, or manage projects yourself, this seat will be smaller than what you do now. We say this so you can decide before you apply.

Why this role

  • A small team where the work is visible and the owner is a partner, not a bottleneck.
  • Real ownership of how the office and the job costs run.
  • We invest in tools, systems and AI, and we want someone who will actually use them.

How to apply — read this part

Two steps. Both are required.

  • Answer the screening questions in the application.
  • Send us a 1-minute video. This is required. An application without it will not move forward.

In one minute, on camera, tell us:

  • Who you are and what you do now.
  • One example of a process you own, and how you keep it from slipping.
  • How you use AI in your work today, or how you'd start.

Phone camera is fine. We are not judging production. We want to hear how you think and how you speak — you'll be on the phone with our clients and our trades.

Send it to info@enzodesignbuild.com with your name in the subject line. Attach the file, or paste a link that does not expire (Google Drive or YouTube unlisted both work). Please don't use transfer links that lapse after a few days.

What happens next: shortlisted candidates complete a short practical task (about 30 minutes, spreadsheet-based) and are then invited to a short video call.

Disclosure: we use AI-assisted tools to help review and organize applications. All hiring decisions are made by humans.

Pay: $65,000.00-$80,000.00 per year

Ability to commute/relocate:

  • West Vancouver, BC V7V 1H8: reliably commute or plan to relocate before starting work (required)

Application question(s):

  • Are you legally authorized to work in Canada? (Yes / No)
  • Tell us about your construction experience. Which company, what was your role, and for how long? What did you actually handle day to day?
  • Have you used QuickBooks Online? Describe what you did in it - bills, coding to jobs, invoicing, anything else.
  • Which AI tools do you use, and what do you use them for? Give one real example. If none yet, tell us how you'd start.
  • A 1-minute video sent to info@enzodesignbuild.com is required. Applications without it will not move forward. Do you understand and agree to send it? (Yes / No)

Experience:

  • construction or renovation office: 2 years (required)

Work Location: In person
