Office Manager — QuickBooks & Accounting | The Person Who Actually Runs This Place

Shield Solar · Calgary, AB (in-office) Full-time, permanent · $70,000–$90,000 depending on experience · Monday–Friday, no evenings, no weekends

The short version

We're a Medium sized solar installation company doing residential and commercial work across Alberta. Our crews are excellent. Our sales team is busy. And the person holding the entire administrative and financial side together — books, payroll, HR files, insurance, WCB, licences, the works — needs to be you.

This is not a reception job with a fancy title. It's the operational backbone of a real construction business, and it reports directly to the owner. If you've ever looked at a disorganized office and felt a deep, almost physical need to fix it — and you can run a clean set of books in QuickBooks while you do it — we should talk.

Why this role is worth your time

You'll see the whole business. Job costing on a $40,000 residential install. Progress billing on a commercial project. Payroll for electricians on apprentice wage progressions. Cash flow on equipment we buy months before the customer pays. This is genuinely interesting accounting — project-based, tangible, and never the same month twice.

Your work is visible and it matters. The owner makes decisions off the reports you produce. When your job-costing is clean, we know which projects made money and why. When it isn't, we're flying blind. You will never wonder whether anyone notices what you do.

You'll own it end to end. No layers, no committees. You'll have a bookkeeper/payroll administrator and a customer care administrator reporting to you, direct access to our external accountant, and the authority to build the systems the way they should be built.

Stability with a growth story. Solar in Alberta is expanding, we're expanding with it, and this seat grows into a controller role as we do. Get in now and the finance function is yours to shape.

What you'll own

  • Full-cycle books in QuickBooks: AP/AR, reconciliations, month-end close, and monthly financial statements the owner can act on
  • Job costing and WIP — making sure every cost lands on the right project so we can compare actuals to estimates
  • Payroll oversight: hourly crews, overtime, apprentice rate progressions, sales commissions
  • GST, source deductions, and WCB remittances; year-end coordination with our external accountant
  • Cash-flow tracking and AR collections (politely relentless is the tone we're after)
  • HR administration: onboarding, employment records, benefits, and certification/training tracking for our field team
  • Insurance, licences, and safety program documentation — the paperwork that keeps a contractor legal
  • Managing two direct reports and the day-to-day rhythm of the office

What we're looking for

  • 5+ years of full-cycle bookkeeping or accounting, with real QuickBooks depth (QBO or Desktop —)
  • Formal accounting training: a diploma, certificate, or CPA-track coursework
  • Payroll experience for 15+ employees; Payroll Compliance Practitioner (PCP) designation is a genuine asset
  • Construction, trades, or other project-based industry experience strongly preferred — you should know what job costing is and care about it
  • The organizational temperament of someone who finds an unreconciled account personally offensive
  • Discretion — you'll handle wages, personnel files, and the company's numbers
